About The Position

The Executive Administrative Assistant position at the Healing Center is a full-time, exempt, non-ministerial role reporting directly to the Executive Director. The primary function is to provide high-level administrative support, manage communications, draft key documents, and oversee scheduling and off-site meetings. In addition to core clerical responsibilities, the role involves supporting major events such as the Hunger Walk and Christmas at the Healing Center, and supervising the daily workflow, reporting, and performance evaluations for a Full-Time Ministry Coordinator.

Requirements

  • Associates Degree in a related area or 2 years of college
  • Minimum of 5 years of experience supporting executive leadership required.
  • Excellent proficiency with Microsoft Office, Word, Excel, PowerPoint, and Google Docs/Sheets.
  • Strong supervisory and leadership skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to maintain employee information in a highly confidential manner and maintain secure files and records.

Responsibilities

  • Provides high-level administrative support and assistance to the Healing Center Executive Director.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Maintain confidential reports and data.
  • Maintain current knowledge of organizational activities through website info, printed info and through engaging with internal directors.
  • Schedule and coordinate off-site meetings as necessary.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Ensure all administrative needs of the executive are addressed such as scheduling of events, copying services, print support, calendar management, etc. as needed.
  • Highly support execution of major Healing Center initiatives such as Hunger Walk, Christmas at the Healing Center, Inventory, Open Houses, etc.
  • Performs additional duties as assigned by the direct supervisor.
  • Oversees the daily workflow of Full Time Ministry Coordinator.
  • Ensure completion of necessary reports, data entry, expense reports, purchase orders and check requests.
  • Provides constructive and timely performance evaluations.
