About The Position

Are you highly organized with a strong ability to multitask and problem-solve in a fast-paced environment? We are seeking a professional and dependable Executive Administrative Assistant to support the General Manager within our growing operations. In this role, you will be responsible for providing high-level administrative and operational support, managing executive schedules, coordinating meetings, improving office efficiencies, and assisting with day-to-day business operations. The ideal candidate is proactive, detail-oriented, and capable of handling confidential information with professionalism and discretion. This position offers the opportunity for a hybrid work arrangement, with availability required at our Stuart and Jensen Beach locations as needed. Additional details regarding scheduling and flexibility will be discussed during the interview process. The ideal candidate will have a proven background in administrative support, excellent organizational and communication skills, and the ability to effectively support executive leadership.

Requirements

  • 3+ years of experience as an Executive Administrative Assistant, or similar high-level support role.
  • Strong organizational, multitasking, and time-management skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite, including Excel, and office management or scheduling software.
  • Excellent verbal and written communication skills with the ability to interact professionally with executives, employees and vendors.
  • Ability to prioritize competing responsibilities and perform effectively in a fast-paced environment.
  • Professional demeanor with the ability to maintain confidentiality and exercise sound judgment in sensitive situations.
  • Self-motivated, dependable, and capable of working independently while supporting executive leadership initiatives.

Nice To Haves

  • Experience with QuickBooks is a plus.

Responsibilities

  • Manage and coordinate executive calendars, meetings, appointments, and scheduling priorities.
  • Prepare, organize, and distribute professional documents, reports, presentations, and meeting materials in a timely manner.
  • Serve as the primary point of contact between executive leadership and internal departments.
  • Oversee daily office operations and administrative procedures to ensure efficiency and seamless workflow across the organization.
  • Maintain strict confidentiality of financial, operational, and personnel information while handling sensitive matters with professionalism and discretion.
  • Assist with operational administrative functions, including document management, reporting, and administrative tracking.
  • Support operations within multiple divisions to help ensure deadlines and operational goals are met.
  • Develop, implement, and improve administrative systems, office procedures, and workflow processes to increase productivity and organization.
  • Assist leadership with special projects and operational initiatives as needed.
