About The Position

Glenmont Job Corps Center is seeking a highly organized, proactive, and professional Executive Administrative Assistant to provide high-level administrative support to the Center Director's Office. This role involves coordinating communications, reports, meetings, deadlines, Center deliverables, and executive priorities, serving as the Center's lead administrative assistant. It combines aspects of an executive assistant, communications coordinator, project tracker, and problem-solver. The position also provides technical and administrative assistance to the Human Resources Department, including personnel information processing, computer input and reporting, employee information and documentation, fringe benefit administration, and other HR administrative processes. The role requires strong time management, organization, communication, and follow-through skills, with an emphasis on confidentiality, professionalism, accuracy, and sound judgment.

Requirements

  • High School diploma or equivalent REQUIRED
  • A minimum of five years advanced administrative experience REQUIRED
  • Computer literacy and proficiency in Microsoft Suite of applications is REQUIRED

Nice To Haves

  • Advanced degrees preferred.
  • Degree or certification from an accredited or certified training program in clerical or administration preferred.

Responsibilities

  • Coordinate meetings, conference calls, schedules, visitors, correspondence, and travel arrangements.
  • Log and monitor Center contract deliverables, requests, reports, correspondence, and deadlines to ensure timely submission.
  • Draft, write, proofread, and distribute correspondence, reports, meeting minutes, and other materials.
  • Conduct research, prepare statistical reports, respond to information requests, and maintain required documentation.
  • Prepare and distribute the Center's weekly newsletter while gathering updates and highlights from departments.
  • Handle sensitive employee, student, personnel, and operational information with discretion and professionalism.
  • Support applicable Job Corps and Company systems, records, libraries, and administrative processes.
  • Help prioritize and coordinate administrative assignments and may provide guidance or training to other clerical and administrative staff.
  • Provide technical and administrative assistance to the Human Resources Department, including personnel information processing, computer input and reporting, employee information and documentation, fringe benefit administration, and other HR administrative processes.
  • Temporarily assume acting responsibilities within the Human Resources Department when needed.
  • Model Job Corps Career Success Standards, interact professionally with students, and work collaboratively with departments throughout the Center to support quality programs and services.
