Requirements

  • Minimum 3+ years’ experience in an Executive Assistant or administrative/secretarial role.
  • Impeccable integrity to ensure maximum confidentiality and discretion.
  • Exemplary business communication skills with fluency in verbal and written English.
  • Ability to multitask, prioritize, and handle conflicting demands.
  • Exceptional in organizing own work and RVP/GM daily and weekly while acting as gatekeeper for the Executive Office.
  • Highly flexible with ability to adapt to a dynamic luxury service-oriented place of business.
  • Solid under pressure, professional, and able to maintain composure in handling complaints.
  • Strong attention-to-detail with a focus on delivering quality while meeting deadlines at all times.
  • People oriented with appropriate sense of humor, charm, and outstanding personal presentation.
  • Solid knowledge of all Microsoft applications with emphasis on word processing, Excel, and Outlook email.
  • US Work Authorization is strongly preferred.

Nice To Haves

  • Hotel experience is an advantage but not essential.
  • Knowledge of Opera helpful.

Responsibilities

  • Cultivate strong professional relationships within the hotel while maintaining discretion and high confidentiality of the office.
  • Calendar coordination, email management, and travel planning for the GM/Executive Office.
  • Provide solid administrative support to the GM/Executive Office and handle meeting scheduling, coordination, documentation, and follow-up.
  • Execute comprehensive general clerical and office management duties including mail, filing, and document management.
  • Prepare and process purchase orders, expense reports, and facilitate GM approvals on behalf of other departments.
  • Exceptional e-mail management skills including organizing, archiving, retrieval, and responses for own in-box and GM/Executive Office.
  • Liaise with Four Seasons Area Executive Leadership Team, Regional General Managers, and Administrators as required.
  • Facilitate guest reservations made via the Executive Office.
  • Liaise with VIP guests of Four Seasons, overseeing room allocations, amenities, welcome cards, and correspondence.
  • Coordinate executive-level communication with guests, owners, and internal stakeholders, relating to feedback and guest experience surveys.
  • Coordinate periodic meetings and communications with hotel ownership and Four Seasons.
