About The Position

The Executive Administrative Assistant provides high-level administrative and operational support to senior leadership within a biopharmaceutical environment. This role is responsible for calendar management, meeting coordination, and site engagement activities, ensuring seamless day-to-day operations and a positive experience for internal and external stakeholders. This position requires strong organizational skills, attention to detail, and the ability to operate in a fast-paced, highly collaborative environment.

Responsibilities

  • Provide high-level calendar management and scheduling support for senior leadership (SVP level), ensuring optimal time utilization and alignment with business priorities
  • Manage complex, high-volume calendars by prioritizing meeting requests, resolving scheduling conflicts, and anticipating leadership needs
  • Prepare leadership for meetings by coordinating agendas, materials, and all necessary logistics
  • Lead end-to-end coordination of on-site meetings for both internal and external stakeholders
  • Oversee all site logistics, including: Conference room scheduling, setup, and readiness, Catering coordination and meal planning, Visitor management, including security access and badging, Travel arrangements, ground transportation, and hotel recommendations
  • Support and enhance site culture initiatives and employee engagement programs
  • Plan and execute a variety of events, including: Seasonal celebrations (summer and winter), Team-building activities, On-site engagement and morale-building events
  • Partner closely with leadership to drive a positive employee experience and foster a strong site culture
  • Provide comprehensive administrative support across the site as needed
  • Contribute to special projects and technical initiatives based on business needs and individual expertise
  • Maintain accurate and organized records, communications, and documentation
