Requirements

  • 1-3 years of administrative experience supporting executive leadership.
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Ability to manage multiple priorities and work independently from concept to completion.
  • Ability to work under pressure and handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and strong attention to detail.

Responsibilities

  • Manage the CEO’s calendar, including scheduling meetings, prioritizing requests, resolving conflicts, and making recommendations.
  • Organize and coordinate logistics for company meetings, board meetings, executive meetings, conferences, and events.
  • Draft agendas, compile and distribute meeting materials, prepare presentations, and record meeting minutes as needed.
  • Work closely with the CEO to keep them informed of upcoming commitments, responsibilities, deadlines, and follow-up items.
  • Anticipate the CEO’s needs in advance of meetings, conferences, travel, and other business engagements.
  • Serve as a primary point of contact for internal and external communications related to the CEO’s office, including confidential and time-sensitive matters.
  • Exercise good judgment in determining appropriate actions, referrals, or responses while reflecting the CEO’s style and company policies.
  • Complete a broad variety of administrative tasks that support the CEO’s ability to effectively lead the company.
  • Manage office communications, inventory, and supply procurement.
  • Book travel arrangements, reservations, meetings, and accommodations.
  • Prepare expense reports and reconcile expenses against credit card statements.
  • Assist with light bookkeeping and general office administration.
  • Maintain databases and company records.
  • Conduct research and prepare PowerPoint presentations.
  • Support marketing efforts, event planning, social media posting, website updates, and filing.
  • Proofread, draft, email, transcribe, and prepare business correspondence.
  • Assist other executive team members and staff as needed.
