About The Position

The Chariton Executive Administrative Assistant supports the Vice President of the Chariton Distribution Center by coordinating financial reporting, supply chain data, and administrative operations across three distribution sites. Day to day, this means preparing month-end profit and loss statements, compiling supply chain operating reports, and managing scheduling and data entry for Distribution Center leadership.   • Ability to solve practical problems involving a variety of variables with limited standardization.
  • Ability to perform arithmetic calculations involving fractions, decimals, and percentages.
  • Advanced proficiency in Excel and PC word processing software.
  • Ability to process mail, draft routine correspondence, and interpret written work instructions.
  • Strong organizational skills with the ability to manage multiple deadlines and competing priorities across multiple Distribution Center sites.
  • Discretion in handling confidential sales, financial, and employee information.
  • High school diploma or equivalent required.
  • One to three years of similar or related administrative experience.
  • Advanced knowledge of PC word processing and Excel software required.
  • Ability to communicate effectively in writing and verbally.
  • Ability to operate standard office technology, including computers and telephones.
  • Ability to review and analyze documents and data on screen.
  • Ability to occasionally transport materials weighing up to 10 pounds, such as files or office supplies.

Responsibilities

  • Coordinate month-end profit and loss statements for each distribution center department.
  • Coordinate supply chain operating reports across the Chariton, Cherokee, and Lomar Distribution Centers.
  • Manage administrative operations, including scheduling, sales records, and inventory records, for the Distribution Center.
  • Schedule meetings, coordinate appointments, and build presentations, graphs, and charts for Distribution Center leadership.
  • Complete data entry for weekly, monthly, and quarterly reports.
  • Help coordinate and organize Distribution Center events, partnering closely with other administrative staff.
  • Maintain confidentiality with all sales records, profit/loss statements, employee evaluations, payroll information, and pricing information.
