About The Position

The Executive Administrative Assistant will provide strategic support for up to 2 leaders with demanding schedules and high impact and globally visible interactions. This role includes high-touch calendar management with dynamic monitoring and strategic planning, meeting coordination, travel support, and liaising with internal and external guests. The assistant will also serve as a central point of contact for team operational needs, which can include supporting process development, hardware and supply management, distributing team communications, partnering with facilities and onsite teams to maintain functional workspaces, and supporting space management with seating assignments and audits. This position requires a high degree of flexibility, strategic thinking, and strong problem-solving skills to effectively navigate support needs. The role also involves supporting peer admin consultants, planning and executing team off-sites and events, building strong working relationships with leaders and their teams, and collaborating with globally distributed admin and functional teams. The individual must be onsite at the office at least 3 days per week and up to 5 days per week depending on business needs.

Requirements

  • Minimum of 5+ years of executive administrative assistant experience supporting VP-level or above, technology industry preferred.
  • Experience managing highly complex calendars, with the ability to foresee and resolve scheduling conflicts proactively.
  • Experience planning, managing, and executing large events.
  • Outstanding written and verbal communication skills.
  • Demonstrated discretion and sound judgment when handling confidential and sensitive information.
  • Ability to remain calm and focused under pressure, with flexibility to adjust priorities on short notice.
  • Must have sound judgement - this person is making decisions on behalf of their aligned executive, every single day.
  • Ability to collaborate cross-functionally across a globally distributed group in order to meet the needs of the local team and office.
  • Demonstrated strong organizational skills with attention to detail.
  • Strong communication skills and a desire to give good customer service to everyone in the building.
  • A highly responsive, adaptable self starter.
