About The Position

The Executive Administrative Assistant I is responsible for performing a variety of support functions to a vice president and his/her leadership team. This role requires associates to be in-office 1-2 days a week, fostering collaboration and connectivity, while providing flexibility to support productivity and work-life balance. This approach combines structured office engagement with the autonomy of virtual work, promoting a dynamic and adaptable workplace. Open to considering additional locations beyond those specified. Requirements

  • Requires a HS diploma or equivalent and a minimum of 5+ years administrative experience; or any combination of education and experience which would provide an equivalent background.

Nice To Haves

  • Bachelor’s degree preferred.
  • Interest or experience in healthcare and/or health insurance preferred.

Responsibilities

  • Writes and routes confidential correspondence.
  • Screens, handles, or distributes incoming phone calls and emails.
  • Maintains confidential correspondence and general files.
  • Schedules meetings, maintains calendar of VP and/or leadership team, and coordinates with others to schedule meetings and resolve calendar conflicts.
  • Orders and organizes supplies.
  • Prepares and tracks budgets.
  • Coordinates travel plans.
  • Submits expense reports.
  • Prepares statements of work, requisition requests, and check payment/invoice requests.
  • Compiles and distributes meeting minutes.
  • Compiles information for reports, documents, and proposals.
  • Collates and assembles materials, makes arrangements for meetings/presentations.
  • Organizes chart updates.
  • Prepares forms and reviews documentation for conformance with internal policies and procedures.
  • Utilizes various software packages such as spreadsheet, word processing, data base and graphics to produce high quality reports, presentations, and documents.
  • Researches, verifies, and prepares reports.
  • Creates and maintains databases.
  • Performs diversified and confidential administrative duties requiring comprehensive skill and knowledge of organization policies and procedures.
  • Sits at the front desk of the Washington, DC office to provide a professional and welcoming atmosphere to guests and vendors.
