Requirements

  • Bachelor's degree or equivalent experience
  • 5+ years of administrative experience, preferably supporting senior leaders in a pharmaceutical, biotech, or healthcare environment.
  • Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines
  • Strong written and verbal communication skills
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
  • Experience with travel coordination and expense management systems (e.g., Concur)
  • High level of professionalism, discretion, and confidentiality

Nice To Haves

  • Experience in clinical development, R&D, or a scientific environment
  • Familiarity with Workday, SAP, or similar enterprise systems
  • Experience supporting global teams across multiple time zones
  • Knowledge of pharmaceutical industry terminology and processes
  • Familiar with Sanofi internal processes

Responsibilities

  • Manage complex calendars, scheduling meetings across multiple time zones and coordinating with internal and external stakeholders
  • Coordinate domestic and international travel arrangements, including logistics for conferences, investigator meetings, and site visits
  • Prepare and process expense reports in a timely and accurate manner
  • Anticipate the needs of the Head of Early Development I&I and proactively address issues before they arise
  • Handle confidential and sensitive information with the utmost discretion
  • Provide administrative support to the I&I Early Development team, including scheduling, meeting coordination, and logistics
  • Organize and coordinate team meetings, off-sites, and departmental events
  • Maintain team distribution lists, organizational charts, and shared resources
  • Support onboarding activities for new team members
  • Track and follow up on action items from leadership and team meetings
  • Manage and track consultancy contracts in collaboration with contracting group
  • Support team in managing POs
  • Draft, edit, and distribute internal communications on behalf of the Head and the department
  • Prepare presentations, reports, and correspondence for internal and external audiences
  • Serve as a liaison between the Head of Early Development and internal/external stakeholders
  • Manage information flow and ensure timely responses to inquiries
  • Support the preparation of materials for governance meetings, leadership reviews, and cross-functional initiatives
  • Maintain organized filing systems and documentation for the department
  • Identify opportunities to streamline administrative processes and improve team efficiency
  • Partner with other Executive Assistants across R&D and the organization to ensure alignment and best practice sharing
