About The Position

The Medical Council of Canada (MCC) is seeking an Exam Operations Specialist to join their dynamic team. This role is crucial for supporting the end-to-end delivery of MCC's assessments, ensuring exams are delivered smoothly and consistently. The specialist will work closely with internal teams and external partners to support systems, processes, and partnerships related to exam operations. Key contributions include system readiness, issue resolution, program coordination, and post-exam activities, all while maintaining data integrity, operational stability, and a high-quality candidate experience.

Requirements

  • Minimum of 3-5 years in exam delivery operations, system administration, or a related operational coordination environment.
  • Proven experience leading or supporting system testing, configuration, and data workflows across enterprise platforms, including creating and executing test plans, test strategies, test cases, performing User Acceptance Testing and documenting results.
  • Experience coordinating projects, including aligning timelines, tracking deliverables, managing documentation, and facilitating communication across teams.
  • Demonstrated ability to create, document, and implement process improvements and quality assurance protocols.
  • Experience managing vendor relationships and resolving technical or operational issues collaboratively.
  • Experience with business analysis concepts and strategies for system assessment and evaluation.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
  • Adaptable to learning new technologies and keen to improve processes continuously.
  • Ability to quickly learn and work with enterprise databases, platforms and applications.
  • Skilled in building working relationships and delivering results in team-oriented settings.
  • Excellent communication skills, with the ability to convey complex operational, technical and procedural information clearly and professionally to diverse audiences.
  • Strong analytical thinking and problem-solving skills with sound judgement.
  • Proactive in identifying and mitigating operational and system risks.
  • Ability to collaborate effectively with others and maintain positive working relationships with a customer-service focus.
  • Ability to coach and provide guidance to team members.

  • Strong documentation and process management skills.
  • Diploma or Degree in Business administration, information systems, project management, or a related discipline.
  • Advanced oral and written skills in English are required.

Nice To Haves

  • Familiar with exam security best practices, principles of item banking, exam delivery, results management, and candidate investigation is an asset.
  • ITIL 4 Foundation Certification, Lean Six Sigma, or other relevant technical, project management or process-improvement certifications
  • Oral and written skills in French considered an asset

Responsibilities

  • Act as a lead for exam delivery systems, supporting their setup, testing, updates, and ongoing maintenance in collaboration with internal teams and external vendors.
  • Serve as a key point of contact for resolving operation issues, working across teams and partners to address challenges and escalate risks when needed.
  • Plan and lead testing activities (including user acceptance testing) to ensure systems and updates are ready ahead of exam delivery or new product launches.
  • Prepare training and operational support for vendors and/or exam sites, including operational guidance, reporting, and security protocols.
  • Ensure exam-related materials are accurate, complete, and delivered on time.
  • Support the review and coordination of key exam-related information, including examiner onboarding, accommodations, and candidate communications.
  • Keep teams and partners aligned on deliverables and ensure consistency in operational standards through clear, proactive communication on timelines, updates, and operational priorities.
  • Provide guidance on exam processes such as registration, scheduling, and accommodations.
  • Work with internal teams, vendors, and exam sites to support all phases of exam delivery—from preparation to post-exam activities.
