About The Position

As our Events & Sponsorships Specialist, you'll play a key role in driving visibility, engagement, and growth across all of our family of ed tech companies: Realityworks, Realityworks AI, and CreXo. In this highly collaborative role, you'll lead the planning and execution of tradeshows, conferences, sponsorships, training events, site visits, and other strategic industry experiences that connect our brands with educators, customers, partners, and industry leaders. From identifying exciting new sponsorship opportunities to managing every detail of event execution, you'll help elevate our presence, strengthen partnerships, generate qualified leads, and create memorable experiences that fuel business growth. You'll serve as the driving force behind event success, coordinating logistics, vendors, communications, inventory, and event readiness while continually seeking innovative ways to expand our reach, build brand awareness, and deepen engagement within our markets. Requirements

  • Associate or Bachelor’s Degree in Marketing, Sales, Business, Communications, or equivalent combination of education and directly-related experience
  • Proficient in Microsoft 365 (Excel, Word, PowerPoint, Outlook)
  • Proficient with PC-based software programs and automated database management systems

  • Experience coordinating events, trade shows, or educational conferences

Responsibilities

  • Owns the planning, coordination, and execution of company participation in tradeshows, conferences, presentations, trainings, and special events
  • Maintains the master tradeshow and event calendar and ensure critical deadlines, registrations, presentations, and logistics are completed accurately and on time
  • Coordinates event preparation activities, including product organization, inventory management, picking, packing, shipping, and event readiness, while collaborating with part-time staff and internal teams as needed to ensure successful execution.
  • Maintains organized, accurate, and accessible event documentation, ensuring stakeholders have visibility into event plans, status, and requirements
  • Partners with Sales and Marketing to maximize the value of tradeshows and events by identifying opportunities for lead generation, presentations, sponsorships, partnerships, and attendee engagement that drive marketing-qualified leads, sales opportunities, and brand awareness
  • Builds and maintains relationships with conference organizers, educational associations, state and national partner organizations, and industry groups to identify additional opportunities for presentations, sponsorships, webinars, partnerships, thought leadership, and future event participation
  • Collaborates with Sales, Marketing, Product Management, and external vendors to identify event goals, resource needs, and successful execution plans
  • Manages tradeshow inventory, marketing collateral, event equipment, and learning aids, ensuring products are functional, clean, accurate, and event-ready
  • Coordinates and tracks inbound and outbound shipments to ensure timely delivery of event materials and proactively address shipping or logistics issues
  • Communicates event updates, risks, delays, and requirements to stakeholders, providing proactive follow-up and resolution of issues as they arise
  • Tracks and reports sales and opportunity dollars generated from events to evaluate ROI and inform strategy
  • Tracks event expenses, leads, revenue opportunities, and post-event feedback to support future planning and continuous improvement
  • Identifies opportunities to improve event processes, organization, documentation, and execution
  • Serves as backup support for event picking, packing, and shipping activities as needed to ensure event materials are prepared and delivered on time
  • Performs other additional duties as assigned or required
