About The Position

This role is for a Senior On-Site Service Specialist who will efficiently manage the ticketing system, support on-site events by coordinating logistics, and conduct daily walkthroughs to ensure a high standard of presentation. The specialist will provide on-site support to various managers for programs, services, meetings, and events, taking ownership of signage and graphics. Additionally, they will support concierge services and the company store, manage stationery and supply orders, and assist with events programming including room setup and AV coordination. The role involves collaborating with the Workplace Experience team on operational needs and special projects, and providing cross-functional support to other Ricoh service areas as needed to ensure seamless service delivery across the site. Responsibilities

  • Efficiently manage the ticketing system by creating, tracking, and following up on service requests to ensure timely resolution. Maintain accurate records, generate regular reports, and escalate issues as needed to meet service-level expectations.
  • Support initiatives associated with on-site events by coordinating logistics, preparing spaces, and assisting with execution to ensure events run smoothly and align with workplace standards.
  • Conduct daily walkthroughs of the studio to ensure a high standard of presentation at all times. This includes monitoring tidiness, checking supply levels, identifying maintenance or cleanliness issues, and coordinating corrective actions promptly.
  • Provide on-site support to the Workplace Specialist, Events Manager, and Ricoh Site Manager for programs, services, meetings, and events. Take ownership of signage and graphics, including setup, placement, updates, and removal as required.
  • Support concierge services and the company store by assisting with day-to-day operations, responding to employee inquiries, and ensuring a positive customer experience.
  • Manage restocking and ordering of stationery and supplies for copy and common areas. Monitor inventory levels, place orders in a timely manner, and ensure supplies are well-organized and readily available.
  • Support events programming, including room setup, furniture arrangement, audiovisual coordination, and post-event tear-down to restore spaces efficiently.
  • Collaborate with the Workplace Experience team by supporting various operational needs, completing delegated tasks, and assisting with special projects to enhance the overall workplace experience.
  • Assist other Ricoh service areas as needed, providing cross-functional support based on direction from the Ricoh Manager and Assistant Manager to ensure seamless service delivery across the site.
