About The Position

We are seeking a highly motivated and experienced Events Project Manager to support the National Science Foundation’s Office of Legislative and Public Affairs (OLPA). The Events Project Manager will oversee the planning, coordination, and execution of high-profile events, conferences, and trade exhibitions that support NSF’s outreach and stakeholder engagement activities. This role requires strong project management, logistics coordination, and stakeholder engagement skills to ensure successful execution of multiple complex events simultaneously. The Events Project Manager will lead event planning efforts, coordinate vendors and venues, and ensure all logistical, technical, and operational requirements are met.

Requirements

  • Minimum education: Bachelor’s degree or higher in Event Management, Communications, Public Relations, Marketing, Business Administration, or a related field. In lieu of a degree, a minimum of three (3) years of relevant experience supporting event planning, outreach coordination, or program management may be considered.
  • Minimum experience: Seven (7) years of professional experience planning and managing large-scale events, conferences, trade shows, or public outreach initiatives, preferably supporting federal agencies, scientific organizations, or large public-facing programs.
  • Demonstrated ability to organize, manage, and execute multiple high-profile events simultaneously, including venue coordination, vendor management, logistics planning, and exhibit management.
  • Strong written and verbal communication skills, including the ability to prepare event plans, run-of-show documents, event reports, and post-event after-action summaries.
  • Experience managing event logistics and shipping coordination, including direct-to-site shipping, warehouse coordination, equipment management, and event material inventory tracking.
  • Proficiency with Microsoft Office 365 applications, including Excel, Word, PowerPoint, Teams, and SharePoint for planning, reporting, and coordination activities.
  • Expert-level experience using event planning tools and project management software to coordinate timelines, tasks, and deliverables.
  • Experience coordinating with trade exposition companies, vendors, and venue staff to manage contracts, exhibits, booth design, and event technology requirements.
  • Ability to collaborate with multidisciplinary teams, including communications specialists, digital media teams, outreach staff, vendors, and government stakeholders.

Nice To Haves

  • Experience with Adobe Creative Cloud applications, event registration platforms, and knowledge of federal accessibility requirements such as Section 508 compliance and federal communication standards.

Responsibilities

  • Support OLPA outreach initiatives by performing event planning, coordination, logistics management, and documentation activities for conferences, meetings, exhibits, and stakeholder engagement events.
  • Develop and document event requirements, schedules, logistics plans, and run-of-show materials to ensure successful planning and execution of internal and external events.
  • Coordinate venue requirements, event technology, signage, invitations, registration systems, and event materials to ensure alignment with event objectives and stakeholder expectations.
  • Document and track event logistics, inventory requirements, shipping activities, and vendor coordination to ensure timely delivery of materials and successful event execution.
  • Assist in developing event implementation plans that support large-scale conferences, trade shows, expos, and outreach initiatives.
  • Conduct process improvement assessments and recommend enhancements to event planning workflows, logistics coordination processes, and event management procedures.
  • Support the development and maintenance of event planning documentation, operational procedures, exhibit management processes, and outreach resource inventories.
  • Assist Government staff with coordination of speakers, moderators, event participants, and external partners to support successful event delivery.
  • Collaborate across multidisciplinary teams including communications staff, outreach teams, digital media staff, vendors, and external stakeholders to support OLPA outreach activities.
  • Ensure compliance with applicable Federal communication requirements, including Section 508 accessibility standards, NSF branding requirements, and federal event management guidelines.
  • These duties directly support OLPA’s mission to engage stakeholders, communicate NSF priorities, and successfully deliver high-impact outreach events and public engagement activities.
