About The Position

This is administrative support work in the review and processing of Special Event permits in compliance with applicable City ordinances. The work requires knowledge of the rules and regulations governing the issuance of Special Event permits which is gained through specialized training and job experience. Contacts with others require skills in understanding and/or influencing people and are important in providing client services, including skills of persuasiveness, assertiveness, and sensitivity to others point of view that are required to influence behavior, change an opinion, or turn a situation around. The work is semi-routine in that tasks are covered by procedures and precedents involving a variety of situations, and requires some decision-making in choosing the appropriate method, technique, or procedure to follow. The work is patterned involving similar situations and generally requiring only the choice of the correct procedure. Work is performed primarily in an office environment with the occasional field work at an event. Operates standard office equipment such as personal computers. The physical demands consist mainly of sitting or standing at a workstation for extended periods of time. The work is performed under general supervision with varied work assignments and, although subject to standard practices and procedures, some latitude is permitted in setting priorities subject to superior's approval.

Requirements

  • Knowledge of the laws, rules, and regulations governing the issuance of special events permits.
  • Knowledge of customer service practices and procedures.
  • Ability to input data into computer terminal with accuracy.
  • Ability to read and interpret event site maps.
  • Ability to explain permitting ordinances.
  • Ability to make and verify mathematical calculations
  • Ability to analyze and/or review special event permit submission files and records for accuracy and compliance with appropriate policies, and submission procedures.
  • Ability to interview and gather information from event holders, residents, and general public.
  • Ability to establish and maintain working relationships with other employees and the general public.
  • Ability to communicate effectively both over the phone and via email.
  • Ability to operate standard office equipment such as personal computers using word processing, spreadsheet, database, and related software applications including Adobe Pro, Microsoft Word, PowerPoint.
  • Ability to establish and maintain information, records, documents, and file systems.
  • Two years of education and/or experience in clerical work, preferably working in permitting or event operations.

Nice To Haves

  • Ability or experience with AutoCAD is encouraged.

Responsibilities

  • Answers questions and explains permit requirements to customers and telephone callers.
  • Provides clear expectations on procedures and regulations to event holders, residents, and governmental agencies.
  • Performs data entry to maintain permit application, conditional and final permit approval.
  • Ensures all documents are in permit package; scans package for digital storage and performs quality control on scanned documents prior to input into digital storage software.
  • Onsite assignments related to the Office of Sports and Entertainments nine (9) signature events.
  • Resolves customer complaints.
  • Operates standard office equipment such as personal computers using word processing, spreadsheet, database, and related software applications including Adobe Pro, Microsoft Word to PowerPoint.
  • Demonstrates proficiency in the City of Jacksonville’s competencies.
  • Performs related work as required.
