Requirements

  • 3–5 years of experience in event coordination, event marketing, or a related marketing operations role, includes direct exposure to conference sponsorship logistics or owned event production
  • Highly organized with strong attention to detail. You track multiple workstreams simultaneously and don’t let things fall through the cracks
  • Clear communicator who can coordinate across internal teams and external vendors without requiring close supervision
  • Comfortable working to tight deadlines in a fast-moving environment where priorities can shift
  • Proficient with productivity and project management tools; familiarity with Salesforce, HubSpot, Wrike or marketing automation platforms is a plus
  • Willingness to travel and work on-site at events as required

Nice To Haves

  • Experience supporting B2B events in financial services, enterprise software, or a regulated industry
  • Familiarity with CRM platforms and how event data connects to pipeline reporting

Responsibilities

  • Coordinate logistics for conferences, partner activations, roundtables, and field events across Digital Asset’s global markets
  • Support flagship event production by managing workback schedules, vendor communications, attendee lists, run-of-show documents, and on-site setup
  • Handle venue and vendor coordination: research options, obtain quotes, track deliverables, and follow up to keep timelines on track
  • Manage attendee communications including invitations, confirmations, reminders, and post-event follow-up in coordination with the marketing team
  • Track event expenses against approved budgets and flag variances to the Director of Marketing Programs
  • Process vendor invoices and purchase orders; maintain accurate records of spend by event
  • Support contract execution by coordinating approvals and ensuring vendors receive the information they need to deliver
  • Maintain the events calendar and keep internal stakeholders informed of upcoming activities, deadlines, and logistics requirements
  • Capture post-event data — attendance, leads generated, costs — and compile inputs for the Director’s regular marketing reports
  • Maintain event production templates, briefing documents, and run-of-show frameworks so processes are consistent and repeatable
