About The Position

The Events Manager acts as the lead planner and primary point of contact for assigned events within the College Events Services (CES) Department. Reporting to the Executive Director, College Events, this role oversees the consultation, planning, coordination, and on-site execution of events that advance the College's academic mission, the student experience, and community engagement. Operating within a centralized, full-service model that integrates Event Management, Food Services, and Logistics, the Events Manager uses the College's Event Management System (EMS) to oversee intake, scheduling, approvals, communications, and reporting. This role ensures smooth cross-functional coordination, consistent service standards, fiscal accountability, and compliance with institutional policies. The Events Manager plays a critical role in delivering safe, high-quality events that reflect the College's mission for both internal and approved external clients. This is a two-year temporary position, with possible renewal in July 2028.

Requirements

  • Associate's Degree in Event Management, Hospitality, Communications, Business Administration, or other related fields or related experience; plus, three (3) years of experience in events planning, conference services, hospitality, coordination, or other related field; or an equivalent combination of education and/or work experience.
  • Demonstrated experience using event management software or centralized scheduling systems.
  • Experience managing multiple events simultaneously in a structured, deadline-driven environment.
  • Ability to work evenings and weekends as required by event schedules.

Nice To Haves

  • Bachelor's Degree in Event Management, Hospitality, Communications, Business Administration, or other related fields or related experience.

Responsibilities

  • Serve as the primary point of contact and assigned Event Manager for a portfolio of internal and external events.
  • Manage all event requests through the Event Management System (EMS), ensuring accurate intake, documentation, approvals, and workflow routing.
  • Conduct client consultations to define event scope, objectives, budget parameters, risk level, and service needs.
  • Develop detailed timelines, production schedules, and run-of-show documents.
  • Coordinate space reservations and venue logistics through the centralized scheduling system.
  • Advise clients on policies, lead times, service levels, and EMS submission protocols.
  • Manage client coordination, contracts, and service agreements, maintaining documentation within the EMS.
  • Participate in ongoing training and continuous improvement initiatives related to EMS functionality, documentation standards, and cross-functional workflows.
  • Initiate and manage service requests for Food Services and Logistics through EMS workflows.
  • Collaborate with Food Services on catering timelines, dietary accommodations, and service execution.
  • Partner with Logistics to confirm room layouts, equipment needs, setup/teardown schedules, and material transport.
  • Coordinate with Campus Safety & Security on event risk assessments, staffing plans, crowd management, and required approvals.
  • Collaborate with Marketing & Communications to align event branding, messaging, and promotional timelines.
  • Ensure promotional milestones and key communications details are reflected in the EMS.
  • Lead cross-functional planning meetings for complex or high-impact events.
  • Serve as the on-site lead during event execution, overseeing setup, service flow, program timing, vendor coordination, and real time issue resolution.
  • Ensure proper event teardown, space reset, and documentation of outcomes or incidents within the EMS.
  • Maintain accurate, complete, and audit-ready event records in the Event Management System.
  • Ensure required documentation—contracts, insurance certificates, permits, security approvals, alcohol permissions, and ADA accommodations—is properly recorded and stored within the EMS.
  • Monitor compliance with fire code, occupancy limits, alcohol service policies, institutional risk management standards, and applicable regulations through EMS workflows and documentation controls.
  • Utilize tiered review and approval processes within the EMS to ensure events receive appropriate oversight.
  • Monitor dashboards, shared calendars, and automated workflows to ensure timely approvals and service coordination.
  • Distribute and track client feedback surveys through the EMS.
  • Conduct post-event debriefs for complex events and identify process and compliance improvements.
  • Assist in monitoring expenses to ensure events are delivered on time and within approved budgets.
  • Coordinate deposits, invoicing, contract payments, and financial reconciliation for external clients in alignment with established pricing models and contract terms.
  • Perform other duties as assigned.
