About The Position

The Events Intern will be responsible for performing operational, analytical, and administrative tasks for the Group Dining Sales & Events department of Gracious Hospitality Management. The Intern will serve as a liaison between the Event team, and clients, and vendors. They support events planning & operations, produce invoices & reports, and help ensure project deadlines are met.

Requirements

  • Extensive experience in creating documents and spreadsheets using software such as Microsoft Word, Excel, and Powerpoint and Google Docs, Sheets, and Slides.
  • Effective communicator of information in writing and visually.
  • Strong quantitative and analytical skills.
  • Exceptional interpersonal skills with the ability to manage internal and external correspondence.
  • Advanced typing, note-taking, recordkeeping, and organizational skills.
  • Knowledge of GHM brand, culture, and product.
  • Available to work weekends, nights, and holidays as the business dictates.
  • Fluent in written and spoken English.

Responsibilities

  • Reports to the Director of Events and Events Manager.
  • Assists with events planning, administration, operations, financial analysis, and market research.
  • Liaises with clients on event details.
  • Communicates event details to Operations and Culinary teams and supports in set up, execution, and client follow up and event close out.
  • Attends meetings and takes minutes.
  • Types, formats, and edits reports, documents, and presentations. Print all menus, place cards, cocktail cards and other materials as necessary for all events.
  • Inventories, event supplies & materials. Place orders as directed.
  • Enters data, maintains databases, and keeps records.
  • Schedules appointments, maintains event calendars, sends reminders, and performs other administrative organizational tasks.
