POSITION SUMMARY The Events Coordinator coordinates the planning, organization, and execution of all band-related events and activities. This position works closely with the Office Manager to deliver safe, well-organized events, and liaises with the Finance Department to ensure accurate expense allocations.

Requirements

  • High School Diploma or GED (preferred, not always required).
  • Previous experience in event planning, implementation, or administrative office systems.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Good project management abilities.
  • Strong work ethic and positive team attitude.
  • Ability to multitask in a fast-paced environment.
  • Proficiency with MS Office Suite.
  • Willingness to work flexible hours, including evenings or weekends.
  • Valid BC Class 5 Driver’s License and access to a reliable, insured vehicle.

Responsibilities

  • Assist with planning, organizing, and managing all band-related events and activities.
  • Participate in assessing event needs and developing event plans.
  • Support the implementation of safe, responsible, and culturally appropriate events.
  • Assist with event logistics including program planning, site setup, equipment, staging, seating, and parking.
  • Liaise with caterers, vendors, sponsors and other suppliers.
  • Provide on-site support before, during, and after events.
  • Ensure proper assembly and presentation of food and beverage items.
  • Plan and prepare for off-site events and maintain cleanliness and organization of event spaces, including timely setup and teardown.
  • Deliver excellent customer service throughout all event stages.
  • Work with the Administration team to schedule Kwah Hall events and activities year-round.
  • Schedule floor plan setup and takedown.
  • Schedule seasonal facility rentals, such as the Carrier Ball Field, Outdoor Rink, and IR #3 Beach campsites, and coordinate group bookings.
