About The Position

Foot Levelers is seeking an organized, proactive Events Coordinator to plan and execute customer education workshops, college and university programs, and other events that strengthen relationships with our customers and partners. This role is ideal for someone who enjoys bringing all the moving pieces of an event together—from planning timelines, speakers, travel and hotels to registration, materials, shipping and on-site execution. You'll work cross-functionally with internal teams and external partners to make sure every event is well organized, professionally executed, and delivers a great attendee experience. The Events Coordinator will serve as a key point of contact before, during, and after events and will own many of the details that turn a plan into a successful experience!

Requirements

  • 3–5+ years of experience in event coordination, corporate events, conferences, training/workshop delivery, higher-education partnerships, or a related field.
  • Demonstrated experience coordinating event logistics, including venues, hotels, travel, speakers, vendors, registration, shipments, event materials, and on-site execution.
  • Strong project-management and organizational skills, with the ability to manage multiple events, priorities, stakeholders, and deadlines simultaneously.
  • Excellent written and verbal communication skills with a strong customer-service mindset.
  • Confidence working with a variety of stakeholders, including customers, speakers, college partners, clinics, vendors, travelers, and internal leaders.
  • Exceptional attention to detail, follow-through, and the ability to anticipate needs before they become issues.
  • Ability to troubleshoot, adapt quickly, and remain organized when plans change or unexpected event needs arise.
  • Comfortable traveling to events and working occasional evenings or weekends based on the event schedule.
  • Proficiency with Microsoft Office and comfort learning and using event technology, registration platforms, CRM systems, and project-management tools.

  • Higher-education, college liaison, healthcare, or clinic-operations experience.
  • Experience coordinating volunteers, interns, speakers, or other event participants.
  • Experience with event registration platforms and other event technology.
  • Experience tracking event budgets, expenses, attendance, ROI, or other event-performance metrics.
  • Demonstrated ability to gather survey and attendee feedback, identify trends, and translate insights into actionable improvements for future events.

Responsibilities

  • Coordinate customer education workshops and other company events from initial planning through post-event follow-up.
  • Build and manage event timelines, checklists, schedules and run-of-show documents.
  • Coordinate speakers, attendees, internal team members and external partners.
  • Manage event-related travel, including flights, hotels, ground transportation and meeting-space requirements.
  • Support hotel and venue coordination, including room blocks, meeting spaces, food and beverage, AV and other event needs.
  • Ensure event materials, presentations and branded content are complete and ready in advance of each event.
  • Coordinate the preparation and shipment of event materials, displays, printed materials, kits and supplies.
  • Track shipments and confirm materials arrive on time and at the correct location.
  • Prepare attendee materials, name badges, workshop kits and other event supplies.
  • Travel to customer workshops, college events, conferences, and other company-sponsored events as needed to support on-site setup, execution, attendee experience, and post-event activities.
  • Support event setup, registration, AV, speaker needs and event flow.
  • Troubleshoot issues as they arise and help keep events running smoothly and on schedule.
  • Ensure events consistently reflect Foot Levelers' brand and standards.
  • Coordinate event registration and maintain accurate attendee information.
  • Partner with Marketing, Customer Service and other internal teams on attendee communications and outreach.
  • Monitor registration progress and help identify opportunities to increase attendance.
  • Reconcile registrations and actual attendance following each event.
  • Help create an organized, welcoming and professional experience for customers, speakers and partners.
  • Serve as a primary point of contact for designated college, university and clinic partners.
  • Coordinate program logistics, training, communications, product needs and other partnership activities.
  • Manage stipend requests and other administrative requirements associated with college programs.
  • Build strong working relationships with external partners and ensure commitments and deadlines are met.
  • Coordinate post-event surveys and summarize attendee feedback.
  • Track event attendance, costs, outcomes and other key performance indicators.
  • Prepare post-event reports and identify trends, opportunities and recommended improvements.
  • Partner with leadership and internal teams to continuously improve future events and attendee experiences.
