About The Position

The Office of the President at Washington State University is seeking a dynamic and organized Events Coordinator to support university-wide events, programs, ceremonies, and special initiatives. In this role, you will help advance the university’s mission by coordinating events that engage students, faculty, staff, alumni, community partners, and other key stakeholders. You will work closely with university leadership and campus partners to create meaningful experiences that showcase the impact of Washington State University. As the Events Coordinator, you will coordinate the planning and execution of a variety of events by managing logistics, schedules, communications, vendor relationships, registrations, and operational requirements. You will provide on-site event support, ensure successful event delivery, and troubleshoot issues as they arise. Responsibilities also include processing event-related purchases and payments, tracking expenditures, maintaining event records and planning documents, updating event websites, and supporting communications with event participants and stakeholders. This position plays an essential role in ensuring events are delivered professionally, efficiently, and in compliance with university policies and procedures.

Requirements

  • High school graduation and two (2) years of work experience involving public contact such as secretarial, sales promotion, setting up conferences, public information, or in the hospitality industry OR Equivalent education/experience (for Events Coordinator 1).
  • High school graduation or equivalent and three (3) years of work experience involving public contact such as secretarial, sales promotion, setting up conferences, public information, or in the hospitality industry; OR equivalent education/experience (for Events Coordinator 2).
  • High school graduation and four (4) years of progressively responsible work experience involving public contact such as secretarial, sales promotion, setting up conferences, public information, or in the hospitality industry OR Equivalent education/experience (for Events Coordinator 3).
  • Four (4) years of college education including course work in public administration, business administration, hotel management, public relations, or park/resource management AND four (4) years of related work experience or certification as a Certified Meeting Professional (CMP) OR Equivalent education/experience (for Events Coordinator 4).
  • Demonstrated effective communication skills.
  • Experience organizing, planning, executing and evaluating special events.
  • Experience working in an environment requiring confidentiality.
  • Must have, or be able to obtain by time of hire, a valid driver’s license and meet requirements in accordance with SPPM 7.10 and departmental driving standards.
  • Experience using Microsoft Office Suite applications including Word, Outlook, PowerPoint, and Excel programs.
  • Experience managing multiple projects.
