About The Position

The Events & Community Engagement Manager is a dynamic, detail-oriented leader responsible for planning, coordinating, and executing all Hanna Center events — from signature fundraising events to campus community programming and facility rentals. This role sits at the intersection of event production, community engagement, and fundraising support, and requires someone who can own the full event lifecycle from concept through post-event follow-up. Reporting to the Vice President of Development, Marketing & Events, this person will serve as the operational engine of Hanna Center's events program, managing vendors, timelines, logistics, and day-of execution across a high-volume calendar of more than twelve events annually. They will work in close collaboration with the development team to drive sponsorships, solicit in-kind donations, and ensure every event delivers on its fundraising and community engagement goals. The ideal candidate is an experienced events professional who thrives in a fast-paced, mission-driven environment, brings strong project management instincts, and is energized by building systems that make complex, high-volume event programming sustainable and repeatable.

Requirements

  • Bachelor’s degree required; degree in Event Management, Communications, Marketing, Nonprofit Management, or related field preferred
  • 5+ years of experience in event planning and execution, with demonstrated ownership of multiple large-scale events simultaneously
  • Proven experience soliciting sponsorships, in-kind donations, or other fundraising support for events
  • Experience managing vendor relationships, contracts, and day-of logistics for complex events
  • Strong project management skills with experience building and maintaining event timelines, run-of-show documents, and post-event reports
  • Proficiency in Microsoft Office and Google Workspace
  • Must clear background check for a Community Care Licensed facility, including physical, TB, and drug test.
  • Valid California driver's license with ability to become insured under company policy.
  • Certified or ability to become certified in CPR and First Aid.
  • Complete Mandated Child Abuse Reporting, Ethical Standards, and Crossing Boundaries of Employee Conduct training.

Nice To Haves

  • Experience with Greater Giving or similar event management platforms strongly preferred
  • Familiarity with nonprofit fundraising environments and donor-facing events preferred
  • Familiarity with Monday.com or similar project management tools a plus
  • Experience coordinating facility rentals or campus venue operations a plus

Responsibilities

  • Lead end-to-end planning, coordination, and execution of all signature fundraising events, including the Gala, Crab Feed, Golf Tournament, Summit, Tennis Tournament, and additional seasonal events
  • Develop and maintain detailed project plans, timelines, and run-of-show documents for each event
  • Scout, secure, and manage all venue relationships, vendor contracts, and day-of logistics
  • Solicit event sponsorships, in-kind donations, and auction items from community partners and businesses in support of fundraising goals
  • Coordinate guest lists, invitations, registration, ticketing, and seating in partnership with the development team
  • Serve as the primary point of contact for event volunteers, managing recruitment, training, and day-of coordination
  • Oversee event technology platforms including Greater Giving for registration, auction management, and donor data tracking
  • Lead post-event wrap-up including thank-you outreach, vendor follow-up, and performance reporting
  • Work closely with the development team to ensure events are fully integrated into donor cultivation and pipeline strategy
  • Manage a broad-based community events calendar, including campus community programming, partner events, and outward-facing initiatives
  • Coordinate Hanna Center's participation in external community events, including tabling, speaking engagements, and partner activations
  • Support the activation of Hanna Center's campus as a hub for community engagement and programming
  • Collaborate cross-functionally with program, residential, and marketing teams to align event strategy with organizational priorities
  • Support the coordination and execution of facility rentals, serving as a primary logistics contact for external groups using Hanna Center's campus
  • Assist in developing and maintaining rental processes, documentation, and service standards to ensure a high-quality experience for rental clients
  • Identify and pursue opportunities to grow campus rental revenue as part of Hanna Center's earned revenue strategy
  • Coordinate with facilities, operations, and program staff to ensure campus readiness and appropriate use of spaces
  • Build and maintain repeatable event playbooks for each signature event so institutional knowledge is retained and events can scale
  • Manage consultant and vendor relationships across all events, including catering, AV, rentals, florals, photography, and entertainment
  • Maintain the events calendar and ensure all internal stakeholders are aligned on timelines, deliverables, and logistics
  • Track and report on event performance metrics including attendance, revenue, expenses, and donor engagement
  • Manage event budgets in coordination with the VP, tracking expenses and reconciling against revenue goals
