About The Position

Visit.org is seeking an experienced, responsible, and driven Freelance Event Specialist based in Culver City, CA, to manage the logistics of an upcoming in-person event. The ideal candidate will have corporate event experience, an entrepreneurial spirit, a passion for Visit.org's mission, and the ability to thrive in a start-up tech environment. Visit.org is a women-led Certified B Corporation that designs and delivers volunteering programs for global companies, partnering with vetted nonprofits in over 100 countries. They are trusted by companies like Amazon, Colgate, Paramount, and Cisco, acting as an extension of CSR teams to facilitate impactful employee volunteering experiences.

Requirements

  • Fluency in English and strong communication skills.
  • Based in Culver City, CA.
  • Schedule flexibility with availability to work on a contract per-event basis, as needed.
  • Experience in complex, large-scale events and smaller executive-level intimate events.
  • Proven experience in executing events at the highest level.
  • Resourcefulness, ability to exhibit grace under pressure, and solutions-mindedness in ambiguous situations.
  • Quick thinking and ability to problem-solve on the fly.
  • Self-starter who is organized and detail-oriented.
  • Ability to build relationships with customers and enjoy customer service.
  • Experience with group facilitation and managing group dynamics.
  • Ability to work flexible hours, including nights and weekends, as needed.
  • Willingness and eagerness to travel to various areas of the local region.
  • Strong interpersonal and customer service skills, especially in fast-paced situations.
  • Ability to wear many hats and take on varied tasks and projects.
  • Comfort being present and interacting with large crowds.

Responsibilities

  • Participate in virtual planning meetings with corporate partners, nonprofit partners, and Visit.org event staff.
  • Be on-site to set up, manage, and tear down events, ensuring a high-quality customer experience.
  • Serve as the Visit.org representative, leader, and problem-solver at events.
  • Coordinate with the onsite team, including event hosts, nonprofit organizations, venues, additional staff, and corporate partners.
  • Manage the check-in process and provide a welcoming experience for guests.
  • Troubleshoot issues such as missing supplies, late staff, or technology challenges.
  • Escalate issues to the Events Team as needed.
  • Provide consistent updates, photos, and videos to the Events Team during the event.
  • Oversee breakdown, site cleanup, and repackaging/shipping of materials.
  • Pack supplies and apply shipping labels, potentially including loading boxes.
