About The Position

The Event Specialist reports to the organization's leadership team and serves as a key driver behind the success of its fundraising events. In this role, you will lead vendor coordination, support sponsorship cultivation and fulfillment efforts, and oversee event logistics from planning through execution. Working closely with staff, volunteers, board members, honorees, sponsors, and community stakeholders, you will ensure every detail is thoughtfully managed and every event achieves its fundraising and engagement goals. This is a temporary position for 5 to 6 months, with a hybrid work model in New York, NY (Lower Manhattan). The role involves 35 hours per week, with one day in person and the remaining days remote, working either 8:00 AM to 4:00 PM or 9:00 AM to 5:00 PM. The hourly rate is between $28.00 and $32.00.

Requirements

  • 2+ years of experience coordinating and executing fundraising events
  • Strong attention to detail and excellent organizational skills
  • Familiarity and comfort working with LGBTQ+ communities
  • Experience with government, civic engagement, advocacy, or community organizing initiatives in New York is a plus

Responsibilities

  • Supporting the execution of a high-profile fundraising event by implementing established project plans, timelines, and event logistics
  • Serving as the primary lead for vendor coordination, managing communications, contracts, deliverables, and event-day needs
  • Renewing and strengthening relationships with existing event vendors and partners
  • Supporting sponsorship cultivation and stewardship efforts, including prospect research, outreach coordination, and relationship management
  • Managing sponsorship fulfillment to ensure all sponsor benefits, recognition opportunities, and deliverables are executed accurately and on time
  • Collaborating closely with staff, volunteers, board members, honorees, sponsors, and other stakeholders to ensure successful event planning and execution
  • Tracking project milestones, coordinating event logistics, and ensuring deadlines are met throughout the planning process
  • Overseeing event-day setup, volunteer coordination, vendor management, and overall event operations
  • Monitoring sponsorship revenue and fundraising progress toward event goals of $150,000+, with a stretch goal of $200,000
  • Preparing event materials, sponsorship reports, and other event-related documentation as needed
  • Providing additional event planning and fundraising support to ensure the overall success of the organization's events
