About The Position

This role is responsible for producing both face-to-face and live online events. For face-to-face events, responsibilities include material production, managing event logistics (classroom design, setup, breakout rooms, transportation, meals), coordinating live classroom setup, and aligning with the delivery team. For live online events, responsibilities include aligning with the delivery team, scheduling and conducting rehearsals, transforming live online training into engaging sessions, setting up virtual classrooms, troubleshooting technical issues, acting as a "save the day" hero during connectivity issues, monitoring chat for questions, managing breakout rooms, managing interactive tools (polls, whiteboards), and ensuring process compliance through event closure. The role requires strong adaptability, foresight, resourcefulness, decision-making skills, executive presence, business and financial acumen, process discipline, client focus, learning agility, digital skills, virtual leadership, and discretion.

Requirements

  • Bachelor’s Degree or equivalent work experience required.
  • Strong skills in Microsoft suite applications (Word, Excel, PowerPoint, MS Teams) required.
  • Exceptionally strong technical skills with Virtual Meeting platforms (Zoom, WebEx, Microsoft Teams, etc.) required.

Responsibilities

  • Works with cross-functional groups to produce materials and supplies for event delivery including printed materials, assessments, publications, inventoried items, and more.
  • Coordinates on and off-site event logistics including classroom design and setup, breakout rooms, experiential space, transportation and meals; set up and break down of meeting rooms, AV equipment and other required technology.
  • Serves as logistical liaison for participants and the delivery team.
  • Coordinates event logistics including classroom layout, breakout rooms, other required space, hanging printed materials, placing participant materials, preparing facilitator space, and more.
  • Communicates regularly with the event delivery team to ensure clarity of status and to highlight any potential issues or needed mitigation strategies.
  • Communicates with feedback coaches as necessary.
  • Analyzes participant data to make peer and coach feedback assignments.
  • Determines other participant groupings based on event criteria.
  • Partners with event delivery team to make decisions during event preparation and delivery.
  • Anticipates and acknowledges delivery team and client expectations during all event phases.
  • Serves as principal day-to-day contact for the delivery team to meet the needs of the group.
  • Ensures the proper and timely preparation and delivery of high-quality event materials and supplies during the event execution.
  • Available as needed when facilitators need support/assistance.
  • Responsible for in-depth knowledge of operating procedures for tablets, PC equipment, multiple databases and proprietary systems.
  • Responsible for event closure by participating in end-of-event debrief, documenting quality issues, ensuring 100% evaluation completion, breakdown physical classroom space, return unused inventory, process and email evaluation report to delivery team, resolve and closeout any open participant issues (e.g., request for a new coach, assessment rescore, emailing specific documentation, etc.).
  • Schedules rehearsals as needed for Live Online events (schedules meetings, secures technology for rehearsal, provides staff schedule, etc.).
  • Transforms live online training into a trouble-free, fast-moving, interactive session that keeps learners involved and the facilitator on track.
  • Producers set up the classroom, launch it in advance of the session start time, and ensure participants have the correct information to get into the session.
  • A producer handles participant’s technical issues behind the scenes while the facilitator keeps the flow of the course moving forward.
  • The producer will step in seamlessly and keep the participants engaged until the facilitator gets back online.
  • The producer keeps an eye on the chat window and answers questions that might arise during the session.
  • Producers put participants into breakout rooms, help monitor them to ensure everyone is staying on task during an activity and keeping time checks with the facilitator.
  • Create and launch polls, launch a whiteboard tool, and manage any other interactive tools needed in the session (including 3rd party tools).
  • Responsible for process compliance through event closure.
