About The Position

Provides comprehensive logistical, administrative, and operational support for conferences, meetings, stakeholder engagements, and program events. This role ensures all planning, coordination, and execution activities align with client requirements, federal guidelines, and organizational standards. Works closely with program staff, vendors, and government partners to deliver high‑quality, well‑organized events that meet mission objectives.

Requirements

  • Minimum of 5 years of experience in event planning
  • Must have an Associate's Degree or similar credential
  • Ability to manage time and events effectively
  • Ability to perform administrative duties such as preparing quality documents, reports and slides and coordinating briefings, conferences, teleconferences, telephone inquiries, meeting preparation, attendance and minutes
  • Must have Microsoft Office (Word, Excel, PowerPoint) experience in preparing, editing and finalizing correspondence, documents and briefings

Responsibilities

  • Taking notes, preparing meeting materials (name badges, table tents), assembling binders, preparing posters, compiling CDs or other electronic media concerning meeting materials for attendees, locating and providing a meeting attendees, facilitating satisfaction surveys at the conclusion of the meeting, setting up a link for event registration, hotel arrangements and/or travel required for the meetings.
  • Responsible for all audio-visual equipment in support of the meetings/conferences.
  • Setting up equipment, ensuring that it's ready for use at-least one (1) hour before event. Dismantling equipment and removing from site upon the close of the meeting/conference.
  • Coordinate all logistical elements including venue selection, room setup, A/V requirements, catering, registration, travel, and on‑site support.
  • Prepare and maintain event documentation such as agendas, run‑of‑show scripts, attendee lists, signage, and briefing materials.
  • Source, evaluate, and coordinate with vendors (venues, caterers, A/V providers, transportation, printing).
  • Manage event registration systems, attendee communications, and post‑event surveys.
  • Support development of presentations, briefing books, and event-related documentation.
