The Purpose: The Event Operations Producer plays a key role in the planning and execution of events by managing all operational details from start to finish. This includes creating and managing estimates, coordinating logistics, working with vendors, creating and managing event timelines, and overseeing event teams to ensure the event runs smoothly and successfully. The Job: Event Planning & Coordination: Collaborate with clients, event account managers, and stakeholders to define event requirements and objectives. Develop detailed event production estimates, timelines , run-of-show schedules, and checklists. Coordinate and oversee the setup, execution, and breakdown of events. Vendor & Resource Management: Work with and manage relationships with vendors such as catering, AV, transportation, and decor. Ensure all necessary materials, supplies, and equipment are sourced, ordered, and delivered on time. Logistics Management: Organize transportation and logistics for staff, clients, and guests. Coordinate venue arrangements and layout planning. Oversee the installation of event-related technology, signage, and branding. Team Leadership: Lead a team contractors and event staff during events. Ensure clear communication among team members to maintain operational flow. Problem-Solving: Quickly address and resolve any issues or challenges that arise before, during, and after the event. Ensure smooth transitions between event stages and activities. On-site Event Supervision: Oversee on-site event operations, ensuring everything aligns with the client’s vision and the event objectives. Handle emergencies and unexpected changes in a calm and organized manner. Post-Event Reporting: Collect feedback and debrief with the team and clients. Review event performance and create post-event reports to analyze success, challenges, and opportunities for improvement. The Person: Proven experience in event planning, production, or operations. Excellent organizational and time-management skills. Strong problem-solving abilities and attention to detail. Excellent communication skills, both verbal and written. Ability to work under pressure and meet deadlines. Leadership and team management skills. Proficiency with event management software and tools.
