The Event Operations Manager keeps the people, processes, and systems running accurately, on time, and to the standard of excellence Bill Daniels set. How the Fund hosts people — guests, scholars, grantees, and board members — is the most visible expression of his values, and this role shapes that experience firsthand. The Event Operations Manager curates events with excellence and builds the workflows that make the next event better than the last. The right person brings administrative rigor, process discipline, discretion, and technology fluency to keep details accurate, systems current, and logistics seamless, so that everyone who walks into a Daniels Fund event feels the care behind every detail.

Responsibilities

  • Manage the project plan for every Daniels Fund event — timelines, owners, deadlines, and run of show — from concept through follow-up, so nothing falls through the cracks.
  • Keep leadership, colleagues, vendors, and guests ahead of the work with clear, timely communication on status, changes, and next steps.
  • Support on-site operations, including setup, coordination, and troubleshooting, so that every guest experiences a welcoming, seamless event.
  • Source and coordinate with vendors, venues, and service providers.
  • Coordinate travel logistics for guests, speakers, staff, and senior leadership.
  • Continuously improve how events are executed – streamlining workflows, documenting repeatable processes, and removing the friction that slows the team down.
  • Build operational capacity so the Fund can do more: as the systems get stronger, help grow what the events program is able to make possible.
  • Maintain accurate attendee and contact records, and lead database management and clean-up efforts that protect data integrity and reporting accuracy.
  • Serve as the internal lead for the Fund's event technology platform, supporting implementation, configuration, and day-to-day use.
  • Produce and manage event invitations, RSVPs, and related guest communications.
  • Maintain mailing lists and coordinate the distribution of communications.
  • Prepare, organize, and distribute materials and related communications.
  • Source, purchase, and prepare gifts and recognition items that reflect the Fund's hospitality.
  • Process and reconcile expenses, providing regular and accurate financial tracking.
  • Maintain inventory and coordinate logistics for materials to and from events.
  • Provide general administrative support across the team and flexible support for senior leadership as needs arise.
  • Assist with special projects and other duties as assigned, including evening, weekend, and travel commitments.
