About The Position

Pavilion is seeking a highly organized, strategic, and execution-oriented events and partner marketing leader to own the planning, promotion, and fulfillment of key event and sponsorship programs. This role sits at the intersection of event marketing, sponsorship fulfillment, content marketing, webinar production, and event operations. The ideal candidate is equal parts project manager, marketer, operator, and cross-functional relationship builder. They will be responsible for ensuring Pavilion’s event and partner programs are executed with quality, clarity, and strong stakeholder communication from planning through post-event reporting. The person in this seat must be able to manage complex timelines, communicate directly with sponsors and internal stakeholders, write and edit marketing copy, understand audience needs, drive registration goals, and make sound judgment calls when priorities shift.

Requirements

  • 5–8+ years of experience in event marketing, partner marketing, sponsorship fulfillment, content marketing, or event operations.
  • Strong project management skills with the ability to manage multiple timelines, stakeholders, and deliverables at once.
  • Excellent written communication skills, especially for promotional copy, sponsor communication, landing pages, and executive updates.
  • Experience managing webinars, virtual events, live events, or sponsored content programs.
  • Ability to translate business goals into clear marketing plans and execution timelines.
  • Strong stakeholder management skills, including sponsor-facing communication.
  • Comfort working with ambiguity and building processes where they do not yet exist.
  • Strong attention to detail and ability to catch gaps before they become problems.
  • Ability to prioritize work across competing business needs.
  • Familiarity with tools such as HubSpot, Sequel.io or other webinar platforms, Google Sheets, Google Drive, Canva, Slack, Clay, Bizzabo, or similar event systems.

Responsibilities

  • Own marketing execution for Pavilion’s flagship events, summits, webinars, and partner-led programs.
  • Build and manage promotional plans across email, Slack, LinkedIn, newsletters, chapter/community channels, and partner toolkits.
  • Partner with internal stakeholders to drive ticket sales, registration growth, and audience quality.
  • Develop audience-specific messaging for GTM leaders, executives, members, prospects, sponsors, and community segments.
  • Track registration progress, promo performance, ticket inventory, and campaign pacing.
  • Recommend promotional adjustments based on registration trends, audience engagement, and business priorities.
  • Partner closely with the Sponsorships team to understand sold packages, contract inclusions, deliverables, timelines, and sponsor expectations.
  • Project manage sponsor deliverables including webinars, eBooks, Demo Days, newsletter placements, Slack posts, social posts, event activations, and other partner campaigns.
  • Serve as a key operational point of contact for sponsor-facing execution.
  • Ensure sponsor deliverables are completed on time, accurately, and in alignment with Pavilion’s brand and audience expectations.
  • Identify risks, missing assets, unclear ownership, or potential fulfillment gaps early and escalate when needed.
  • Own the end-to-end webinar workflow from sponsor handoff through scheduling, landing page creation, promotion, live production, and post-event reporting.
  • Create or refine landing page copy, promo plans, calendar invites, speaker logistics, and sponsor communications.
  • Manage webinar setup and production in Sequel.io, including speaker access, tech checks, replay setup, transcripts, and engagement reporting.
  • Prepare registration and engagement reports for sponsors, including enriched attendee lists, attendance data, poll responses, comments, resource clicks, and replay links.
  • Support Demo Day programming and promotion, including coordination across multiple companies, speakers, and stakeholders.
  • Support or lead planning for major Pavilion events, including GTM, Women’s Summit, functional summits, VIP experiences, sponsor activations, and related programming.
  • Coordinate with external event agencies, consultants, vendors, speakers, sponsors, internal teams, and executive stakeholders.
  • Maintain event planning documents, timelines, run-of-show inputs, stakeholder updates, and operational trackers.
  • Help clarify ownership across marketing, sponsorships, community, content, finance, operations, and external partners.
  • Serve as a key institutional knowledge holder for event and sponsor workflows.
