About The Position

The Event Manager is responsible for maintaining a high level of communication with clients, guiding them through facility rules and regulations, and ensuring compliance with all applicable regulations for fire and safety. This role involves reviewing event floor plans, schedules, and logistical needs, and keeping clients and contractors informed of deadlines. The Event Manager also obtains, organizes, and interprets detailed requirements and schedules from clients and contractors, ensuring all MCCNO departments have the necessary information for successful event execution. This includes maintaining the Event Management System, creating and distributing clear event information, and participating in/scheduling meetings. A key aspect of the role is anticipating and preventing problems through proper planning. The Event Manager coordinates workflow, monitors in-house activities, and directs MCCNO staff. They oversee all event activities, follow up on client requests, manage delegated tasks, and issue necessary changes or updates. Additionally, this role ensures lease spaces are cleared of client and contractor equipment by the contracted period end and assists with final client billing. The Event Manager is expected to stay current with industry trends through training and events, and to actively assist in training new Event Services staff. The role requires establishing and maintaining effective working relationships with diverse groups, handling difficult people, prioritizing tasks, managing time efficiently, multitasking, performing under minimal supervision, and working extended/irregular hours including nights, weekends, and holidays.

Requirements

Responsibilities

  • Maintain a high level of communication with clients and provide them with all necessary information relative to the staging of their events.
  • Guide clients in facility rules, regulations, and policies and procedures to ensure operational efficiency and increase customer satisfaction.
  • Ensure clients’ and contractors’ knowledge of and compliance with all applicable regulations to ensure fire and safety policies and procedures are met.
  • Review event floor plans, schedules, and logistical needs and make recommendations when necessary.
  • Keep clients and contractors informed of deadlines, including floor plans, event specifications, and other relevant details.
  • Obtain, organize, and interpret detailed requirements and schedules from clients and contractors to ensure all MCCNO departments have the necessary information to successfully and efficiently execute the event.
  • Ensure that input to the Event Management System is maintained and up-to-date.
  • Create, distribute and publish event information that is clear, comprehensive, and in accordance with internal event scheduling deadlines and departmental standards.
  • Participate in, and schedule when necessary, internal and external meetings to ensure that all parties have a thorough understanding of all aspects of the event.
  • Foresee problems and head off through proper planning and anticipation of problems or issues.
  • Coordinate work flow and monitor in-house activities by interfacing with clients and contractors and directing the activities of the MCCNO staff.
  • Oversee all event activities and follow up on all client requests, concerns, and problems.
  • Update, manage, and chase delegated tasks to ensure progress to deadlines.
  • Issue changes, corrections, and updates as necessitated by evolving event requirements.
  • Check all lease space to ensure that all client and contractor equipment is removed by the end of the contracted period.
  • Ensure that all MCCNO space is clear and clean in accordance with facility policies.
  • Assist with the preparation of final client bills by data input in Event Management System and provide signed supporting documents when required.
  • Participate in industry-related trainings and events and stay current with industry trends to make recommendations in response to changes in the industry.
  • Actively assist in the training and development of new Event Services staff.
