About The Position

itD is seeking an Event Manager with Speaker Management to lead the final planning and execution of large-scale, enterprise-level events, ensuring seamless delivery and high-impact experiences for global audiences. This role is critical to maintaining operational excellence across key client engagements, with direct influence on event success through coordination, stakeholder alignment, and onsite execution. The ideal candidate will bring deep experience in enterprise event management, particularly with Speaker Management, and also a proven track record of executing large-scale conferences, trade shows, and marketing events with measurable outcomes. The role is 100% remote. This is a W2 opportunity with itD and contracted at a Fortune 500 client in Silicon Valley. The individual selected will be instrumental in helping us continue to deliver excellence to our base of leading global accounts. Requirements

  • 5+ years of ONSITE/In Person, Event Management in Enterprise markets with large-scale audiences of 1,000+
  • Event management tools: Rainfocus, CVENT, GES, Jiffle, InfoSec, CASPR, ASANA
  • Marketing Events with 500+ attendees
  • Large Trade Shows
  • Very logistically strong, with exceptional organizational and project management skills, including overseeing complex workstreams across multiple functions composed of both technical and non-technical members
  • Pays attention to detail and can multi-task (spreadsheets and checklists are your best friend)
  • Excellent time management with the ability to ensure stakeholders meet deadlines
  • Effective communicator with superb written and verbal skills, who can communicate clearly and professionally with customers, team members and other stakeholders
  • Ability to maintain the highest level of professionalism and integrity when interacting with C-level executives, suppliers, attendees, speakers and talent
  • Uses communication to build relationships with others and foster teamwork

  • Experience working with end-to-end event management platforms is a must.
  • Strong understanding of post-event metrics and their importance to the overall event success
  • Familiarity with Microsoft Excel, Sharepoint, and Project Management tools
  • Comfortable using Webex collaboration software as main communication tool
  • Ability and willingness to travel 7 days to support the event in-person in October 2026.
  • WebexOne 2026 set-up and execution dates, Saturday, October 3 – Thursday, October 8. (Event is October 5-8)
  • Help staff Registration to check in speakers, work on any needed content changes (ex, speaker names, headshots, bios, session info) based on last minute changes, and support other areas of the event as needed.

Responsibilities

  • Attend regular internal practice community meetings.
  • Collaborate with your itD practice team on industry thought leadership.
  • Complete client case studies and learning material (blogs, media material).
  • Build out material to contribute to the Digital Transformation practice.
  • Attend internal itD networking events (in person and virtual).
  • Work with leadership on career fast-track opportunities.
  • Overall day-to-day project management of workstreams, creating the workback plan, overseeing timelines, budget execution, reporting, project change notices, facilitating collaboration, and assisting with unblocking throughout the project.
  • Coordinate, lead and collaborate with workstream contributors during weekly workstream status update calls.
  • Provides input on event production schedule and logistics needs to Ops Lead.
  • Responsible for creating slides in WebexOne master walking deck to communicate plans for all workstreams.
  • Monitors event deadlines and change.
  • Lead cross-functional Speaker Management Workstream for WebexOne 2026; responsible for all strategy, planning and execution of the workstream, keeping things organized, facilitating collaboration, and assisting with unblocking throughout projects.
  • Manage Rainfocus Speaker Portal.
  • Receive training for related tools related to speaker mgt at WebexOne 2026 (Rainfocus, Socio, OneDrive/Office, Webex, etc).
  • Primary manager of the WebexOne speaker management processes and tools.
  • Orchestrate content management and updating system, process, and tools for all speaker types (both Cisco and external speakers).
  • Work with all speaker sourcing teams (ARPR, Training, Breakouts/Roundtables, Sponsor, Keynote, Customer, etc) and stakeholder orgs (ex: Product Marketing, Customer Advocacy) to ensure speakers are approved, onboarded, and supported.
  • Track and provide regular (weekly or more) status updates on all aspects of speakers (approval, agreement sent/signed, logo use approved, headshot/bio received and uploaded, travel / hotel booked, rehearsal and speaking times confirmed, etc).
  • Ensure Rehearsals, speaking sessions, and other deadlines/touch points are calendared and supported.
  • Capture all signed speaker agreements in OneDrive folder; note any modifications (logo use, live streaming limitations, etc), clearly communicate and ensure any contractual obligations are carried through.
  • Provide communication resources and templates to ensure speakers and related parties get timely and correct information.
  • Coordinate speaker hotel room list with WebexOne Housing team.
  • Ensure speakers know where to go, who to meet, what to wear, when to be ready, etc onsite.
  • Ensure speaker info/content is correctly uploaded/updated across all platforms (Rainfocus, Socio, Website, Slides, spreadsheets) in collaboration with Event App Manager and other stakeholders.
  • Ensure workstream contributors and key stakeholders are meeting the deadlines.
  • Ensure “white glove” service for executive and/or external VIP/C-suite speakers.
  • Work with Cisco AMEX travel coordination team to ensure they can connect with customers to book travel, and track spend against actual.
  • Maintain/update key slides in various WebexOne decks that track invited/approved/confirmed speakers.
  • Create/update documentation on speaker management process and learnings.
  • Create post-event reports and metrics to assess speaker and session performance, impact.
  • Ensure post-event thank you notes and other communications.
