About The Position

The Event Manager plans and delivers programs end to end for a dedicated Experience Studio team built around one enterprise client, working with a producer on each one. The producer owns strategy, stakeholders, and content and holds final approval on the plan and the budget. The Event Manager runs the plan, the budget, the suppliers, and the onsite logistics that make the program happen.

Requirements

  • Four or more years planning corporate meetings and events, with programs you carried from kickoff through reconciliation.
  • Experience as onsite lead on ten or more programs a year.
  • Independent management of program budgets up to $500,000, with accurate forecasts and clean reconciliations.
  • Working knowledge of hotel and supplier contracts, banquet orders, and the details that drive cost, including attrition, minimums, overtime, and late changes.
  • Strong command of Cvent and enterprise project and collaboration tools, and comfort working inside a client owned environment.
  • Experience planning for a producer or client event owner who leads the program, with the confidence to speak up when a request will cost time or money.
  • Composure onsite: able to brief a team, handle a late change, and keep the program on schedule.
  • Clear written communication, including status updates, supplier instructions, and attendee details that are right the first time.
  • The organization to run several programs at once and the judgment to ask for help before a deadline is missed.

Responsibilities

  • Plan and deliver assigned programs end to end with the producer, from kickoff through onsite execution and close.
  • Keep the program plan current in the client's project tools, with tasks, owners, and dates the producer and the client can read without asking.
  • Build and manage program budgets with the producer, independently up to $500,000 and alongside a Senior Event Manager on larger programs, from first estimate through final reconciliation.
  • Manage suppliers once sourcing hands off, including hotels, venues, transportation, food and beverage, and audiovisual, from contract terms through banquet orders and final invoices, within the client's procurement and payment rules.
  • Work with the Attendee Experience Coordinators on registration, housing, and attendee communications, giving them the details and deadlines they need and reviewing what goes to attendees.
  • Lead onsite for the programs you carry, including staffing, the run of show, and suppliers, working to the producer's direction, with the travel and extended program weeks that come with it.
  • Carry several programs at different stages at once, including ten or more onsite a year, without letting a quiet one slip.
  • Close every program on time, with final invoices, budget reconciliation, attendee and supplier feedback, and a short debrief with recommendations.
  • Keep planning files, supplier records, and decision notes complete enough that another manager could pick up the program tomorrow.
  • Raise scope, budget, and timing risks early to the producer and the Studio Operations Manager, with a recommendation attached.
