About The Position

The Event Manager is responsible for coordinating all aspects of club and private events, from initial planning through final execution. This role serves as the primary liaison between members, guests, and club departments to ensure events are organized, communicated effectively, and delivered at the highest level of hospitality. Requirements

Minimum 3 years of event management, catering, banquet, hotel, resort, club, or hospitality experience.
Strong organizational and communication skills.
Ability to multitask and manage multiple events simultaneously.
Experience creating and managing Banquet Event Orders (BEOs).
Proficiency in Microsoft Office Suite.
Availability to work evenings, weekends, and holidays as business demands require.
A genuine passion for hospitality and member service.
Outstanding attention to detail and organizational skills.
Strong leadership and communication abilities.
Accountability and a proven record of follow-through.
The ability to remain calm and effective under pressure.
A proactive mindset with a commitment to continuous improvement.

Nice To Haves

Private club experience.
Experience with club management software such as Jonas, Northstar, or ClubEssential.
Bachelor’s degree in Hospitality Management, Business, Communications, or related field.
CMAA membership or involvement.
Certified Meeting Professional (CMP) designation.

Responsibilities

Meet with members and clients to plan weddings, banquets, golf tournaments, corporate meetings, holiday events, and social functions.
Prepare contracts, event proposals, floor plans, and Banquet Event Orders (BEOs).
Assist in generating event revenue through exceptional service and relationship building.
Conduct club tours and assist prospective members and clients with event inquiries.
Coordinate event details with Culinary, Food & Beverage, Golf Operations, Facilities, and Administration teams.
Ensure all BEOs are finalized and distributed no later than 72 hours prior to scheduled events.
Lead weekly BEO meetings and communicate all event details to department heads.
Oversee event setup, execution, and breakdown.
Be present during major events to ensure quality standards are met and member expectations are exceeded.
Maintain accurate event files, contracts, deposits, billing information, and correspondence.
Monitor event timelines and deadlines.
Process post-event billing and follow-up communications.
Prepare reports and assist with annual event planning initiatives.
Develop strong relationships with members and guests.
Respond promptly and professionally to requests and concerns.
Deliver personalized service that creates memorable experiences and promotes member satisfaction.
Maintain the club's high standards of hospitality and professionalism.
