About The Position

The Event Logistics Coordinator administers and oversees event operations of large facilities (The University of Alabama Student Center, University Recreation facilities, etc.) including event logistics, event management, event planning, student supervision, inventory management, and software management. Supervises student employees. Provides an excellent experience to all clients. Schedules and coordinates requests for multiple indoor and outdoor facility spaces managed by the Department of University Recreation, which include the Student Recreation Center, Robert E. Witt Student Activity Center, Aquatic Center, UREC Outdoor Pool Complex, Intramural Field Complex, and UREC Tennis and Pickleball courts. Works closely with UREC programs, facility, and services staff to accommodate internal department requests, special events, camps, and general public requests. Communicates with customers to ensure events are well coordinated and all needs are met. Provides special event coverage. Assists with assessment and makes recommendations for updates and modifications of processes to Assistant Director of Recreation Facilities. Leads a staff of student employees to insure the successful daily operations of University Recreation Facilities in providing educational and recreational opportunities to the University community. Oversees scheduling, coordination, and conformation of all UREC reservations. Oversees revenue accounting, risk management, issuance and maintenance of sports and fitness equipment and sports equipment inventory, policy enforcement, and injury management. Recruits and supervises staff and/or student workers. Provides student development opportunities and maintaining positive patron relations. Manages patron services and relations. Manages equipment. Assists in administrative tasks such as payroll, budgeting and accounting. Completes required training that is related to laws and regulations, that creates a more hospitable and respectful workplace; and safer work environment.

Requirements

  • Bachelor's degree and some event planning or coordination experience; OR associate's degree and two (2) years of event planning or coordination experience; OR high school diploma or GED and four (4) years of event planning or coordination experience.
  • Must have valid U.S. driver's license.
  • Must be at least 19 years of age at time of hire.
  • Must have an acceptable Motor Vehicle Report that is in compliance with University policies.
  • Applicants under the age of 21 will have some driving restrictions.
  • Demonstrated knowledge and experience in student leadership development.
  • Ability to advise, teach and mentor University students.
  • Demonstrated excellent interpersonal and communication skills, written and verbal including a customer service orientation and ability to collaborate and develop partnerships with various University departments, faculty, staff and student organizations.
  • Strong organizational skills and ability to effectively multi-task.
  • Demonstrates commitment to supporting all students.

Nice To Haves

  • Master's degree in Recreation Administration, Student Affairs, Higher Education, College Student Personnel, Hospitality Management, Marketing, Business Administration or other related field.
  • Two (2) years of facility management experience in a collegiate or municipal recreation setting.
  • Extensive knowledge of facility scheduling software and invoicing.
