About The Position

As the Event Intern, you will support the planning, coordination, and execution of events to ensure seamless and memorable experiences for attendees. Reporting to the Director of Philanthropy & Partnerships, you will assist with all logistical details, vendor coordination, administrative tasks and on-site event support. This is a 16-week long fixed-term contract. The ideal candidate is a highly organized and detail-oriented individual with a strong interest in event planning and coordination. You enjoy managing logistics, supporting team members, and ensuring events run smoothly from start to finish. You bring a proactive mindset, strong communication skills, and a willingness to jump in wherever needed. Preference will be given to candidates located in the Greater Toronto Area (GTA) or Greater Vancouver Area (GVA).

Requirements

  • Demonstrated experience in event planning, coordination or administrative work.
  • Strong organizational and multi-tasking abilities with excellent attention to detail.
  • Proactive mindset and ability to work in a team, as well as to solve problems independently.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office.
  • Ability to lift up to 25 lbs to chest height.

Nice To Haves

  • Experience in customer service.
  • Experience with Salesforce.

Responsibilities

  • Assist with event planning, including scheduling, applying for permitting, and vendor communications and coordination.
  • Maintain event timelines, checklists and registration lists.
  • Support with distribution of event materials, invitations, and communications.
  • Respond to event inquiries via phone and email.
  • Assist with post-event administration, including reporting and Salesforce data entry.
  • Resolve minor issues and contribute to a smooth event flow.
  • Assist with third-party event supporter needs.
  • Other duties as assigned.
