About The Position

BEAT THE BOMB is seeking an enthusiastic Event Coordinator to serve as the primary point of contact for our Event team. The role involves delivering a premium and enjoyable experience for a diverse clientele, including Corporate Teams, Tour Groups, Kids STEM Programming, and Birthday parties, while fostering long-term client relationships. This position requires strong verbal and written communication skills, proficiency in event execution and guest relations management software, and the ability to manage the entire event lifecycle, from initial inquiries and planning to contract execution and payment processing. The Event Coordinator will report to the General Manager, with a secondary reporting line to the Regional Event Sales Manager at HQ.

Requirements

  • 2+ years of experience in a related field such as guest relations, retail, hospitality, or administrative/executive assistant roles.
  • Highly self-motivated and hardworking with a desire to learn, grow, and succeed.
  • Strong follow-through and ability to take full ownership of the sales process from beginning to end.
  • Comfortable using software platforms.
  • Detail-oriented, with experience in event planning, contracts, and payment processing.
  • Exceptional written and verbal communication skills.

Nice To Haves

  • Experience with Salesforce, TripleSeat, or similar CRM platforms.

Responsibilities

  • Provide excellent customer service to clients, encompassing menu and event development, negotiations, planning, event execution, and post-event follow-up.
  • Collaborate with clients to gather essential information, ensuring accuracy in event setup and execution details, and efficiently communicating this information to the Beat The Bomb management and operations teams.
  • Process internal and external correspondence, payments, and BEOs accurately and promptly.
  • Assist customers with order placement and confirmation, communicate event details, provide on-site direction as needed, and process invoices in a timely manner.
  • Attend and manage on-site event execution, from setup and delivery through to conclusion as required.
  • Perform other duties as assigned by the General Manager or Operations Managers.
  • Conduct tours of the location for prospective clients.
  • Support local marketing initiatives, including local partnerships, influencer marketing, flyering, and other guerrilla marketing tactics.
