About The Position

Teleli Golf Club is seeking an Event and Catering Manager to join our team. General Purpose: Details and coordinates all event and catering-related needs of special events on and off-site. Assists the Food and Beverage Department with daily administrative tasks and in restaurant areas as needed.

Requirements

  • Associate’s degree (AA) and one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and speak English is required in order to perform the duties of the job (e.g. the associates may be required to communicate with English speaking customers or co-workers, the manuals for the equipment the associates may use are in English).
  • Knowledge of software applications such as Microsoft Word, Excel and POS system.
  • Driver’s License is required.

Responsibilities

  • Contacts Members/Guests/Clients face-to-face, by telephone, and/or email, to confirm, coordinate, and update details for scheduled catering activities.
  • Details each member event’s catering needs, which may include but is not limited to: menu planning, meal time, and room set up.
  • Details each member sponsored event and outside event’s catering needs which may include but is not limited to: menu planning, meal time, staff assignments and room setup as assigned.
  • Reviews all Banquet Event Orders on a daily basis to determine staffing levels, location set-up, related supplies and decorating materials.
  • Executes all Member activities, events and other events as assigned
  • Executes Member Sponsored and Outside Events as assigned
  • Maintains and improves on an ongoing basis the presentation of all events at the facility
  • Responsible for maintaining inventory, storage areas, and preparation of inventory reports as well as preparation of proposals for significant expenditures such as new theme parties, equipment, etc.
  • Prepares, implements, and compiles data for various reports such as Catering Revenue Forecasts, P&L’s, Commissions, and other reports as directed.
  • Provides input on menu design and revisions.
  • Monitors overall banquet areas for cleanliness and any maintenance issues. Works with F&B team, housekeeping and engineering on any areas in need of attention.
  • Ensures events are set up on time, the quality of the product and level of service delivered.
  • Develops the tripleseat calendar, listing all of the existing events with an abundance of detail.
  • Conducts facility tours and sight visits for groups assigned.
  • Tracks all guarantees and deadlines based on contract.
  • Coordinates with Food and Beverage department to ensure specified arrangements are carried out as planned.
  • Details are adjusted as new information becomes available. Communicates with various departments regarding event details to ensure successful completion of all events. Details of all invents, including internal events are confirmed three days out.
  • Develops banquet event orders and conducts weekly meetings to review with staff. Develops and distributes a 10-day forecast with complete banquet event orders when necessary.
  • Establishes good working relationships with other Department leaders and associates.
  • Attends networking events, trade shows, wedding shows, etc. as assigned.
  • Completes projects as directed in relation to the area of responsibility.
  • Assists the department manager in training, planning, assigning, and directing work. Make recommendations when evaluating performance, rewarding, and disciplining associates. Addresses complaints and resolves problems.
  • Assists in the coordination of department members that may include, but is not limited to: Banquet Captain, Servers, Hosts, Bartenders, Set Up Staff.
  • Assists in monitoring business volume forecast and plans accordingly in areas of manpower, productivity, costs and other expenses.
  • Responsible for implementing and maintaining excellent service to achieve Member/Guest/Client satisfaction.
  • Assists manager in communicating any changes or new policies and procedures to the department.
  • Assists in various administrative tasks as assigned
  • Regular and reliable attendance.
  • Performs other duties as required.
  • Ensures accurate and timely invoicing for all services rendered, to include recording events on the POS system.
