The Evaluation Assistant serves as the first point of contact by answering the telephone and providing information and assistance as needed. This role provides Front Desk support. Other duties include processing all incoming medical records documents (paper or electronic) and attaching them to the appropriate patient chart in a timely fashion. The assistant manages all incoming faxes and distributes them as necessary to the appropriate individual. They receive and scan all medical reports, q5/q15 sheets, DAPs, plus additional documentation that is part of the patient chart. The role also involves sending and tracking outgoing documents, following up on outstanding documentation to ensure items are collected within agency policy and regulatory guidelines. The assistant notifies the Quality Manager and MSA Director when outstanding documents have not been received despite multiple attempts to collect. They process staff requests related to medical records to achieve effective coordination of care and utilize physician portals or other software, when necessary, to obtain medical records (EPIC, etc.). The role supports regulatory compliance by compiling documentation in a timely manner for medical record requests and works closely with billing and quality improvement team members regarding outstanding medical records. Additionally, the assistant assists the Director, Clinical Operations in chart audits related to regulatory compliance. Other tasks may be performed as assigned.
