About The Position

As a Scotiatrust Estate & Trust Associate, you are responsible for providing Estate & Trust Consultants (ETCs) with the support they require to drive new business and advisor engagement within their regions, while maintaining a high level of client service, quality control and operational efficiency. You will perform a variety of functions towards that end, mostly dedicated to particular ETCs but working as part of a team that may require his/her support across several different ETCs / Regions at different points in time. This position may also be asked to assist the virtual Wealth & Trust Consultants as required to pull and record data in Salesforce to support their business development activities.

Nice To Haves

  • Knowledge of the Estate & Trust and/or wealth management industry
  • Industry accreditation (Certificate in Estate and Trust Administration)
  • Working knowledge of legal documents such as Wills, Trust Deeds and Powers of Attorney
  • Bilingualism (English-French)

Responsibilities

  • Support ETC prospecting and pipeline management activities, including ensuring new opportunities are captured and tracked in Salesforce, providing reporting, and liaising with planning teams and Total Wealth Managers (TWMs) for estate and trust planning data.
  • Support the ETC sales process, including file preparation (requesting questionnaires, existing planning documents, financial holdings summaries), preparing new business documentation (fee agreements, account opening documents), sending correspondence to law firms, and performing follow-up with lawyers and clients.
  • Provide quality assurance support to ensure new business is submitted in good order, verifying accuracy and completeness of documentation (Wills, Powers of Attorney) and reporting, and supporting immediate fee reporting.
  • Facilitate business development and advisor education opportunities by scheduling client appointments, confirming logistics, assisting with seminar/webinar preparation (organizing, registering participants, managing logistics, liaising with presenters), and directing advisors to available resources.
  • Provide administrative support to ETCs, including supporting digital business practices, managing mail and couriers, ensuring supply stock, triaging communications, and coordinating meetings and travel arrangements.
  • Champion a customer-focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursue effective and efficient operations in accordance with Scotiabank’s Values, Code of Conduct, and Global Sales Principles, ensuring adequacy and adherence to day-to-day business controls for operational, compliance, AML/ATF/sanctions, and conduct risk.
