About The Position

The Escrow Assistant will be the behind-the-scenes force that keeps real estate transactions moving. Working closely with the Escrow Officer, the assistant will coordinate documents, manage deadlines, and support agents, buyers, sellers, lenders, and attorneys to help ensure every closing is accurate, on time, and stress-free. This role involves preparing closing packages, supporting funding, recording, and post-closing activities, where attention to detail and customer service will make a real difference. The work helps turn contracts into closings and assists clients in moving into their next chapter with confidence.

Requirements

  • High school diploma or equivalent.
  • One to four years of escrow processing experience, depending on the team supported.
  • Prior experience in escrow, title, mortgage, real estate, or related transaction services preferred.
  • Strong administrative and organizational skills with exceptional attention to detail and a high level of accuracy.
  • Ability to effectively manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office applications, including Word, Outlook, and Excel, as well as document management systems.
  • Strong written and verbal communication skills with the ability to effectively communicate and collaborate with agents, buyers, sellers, lenders, attorneys, and internal team members to resolve issues and keep transactions moving forward.
  • Self-motivated with a proactive approach to problem-solving and issue resolution.
  • Demonstrated commitment to quality work, accuracy, and customer service.

Nice To Haves

  • Experience in the real estate industry, including title, escrow, settlement services, real estate, mortgage, or property management.
  • Knowledge of front-end and back-end escrow processing procedures.
  • Familiarity with closing document preparation, funding, recording, and post-closing processes.
  • Experience working with electronic document management systems and transaction workflows.

Responsibilities

  • Prepare closing packages, including settlement documents and checks for scheduled closings.
  • Assemble, review, and maintain escrow files and closing documents for accuracy and completeness.
  • Review contracts and assist in obtaining information and documentation needed to process transactions.
  • Scan, upload, index, and maintain digital and physical files in accordance with company standards.
  • Support transactions from contract through post-closing, ensuring timely file progression and adherence to deadlines.
  • Assist with title clearance, funding conditions, loan package returns, recording, and post-closing activities.
  • Resolve recording issues, document corrections, and other transaction-related matters as needed.
  • Partner closely with the Escrow Officer to provide exceptional administrative and transaction support.
  • Communicate effectively with agents, buyers, sellers, lenders, attorneys, and other parties to keep transactions moving forward.
  • Deliver outstanding customer service and build positive relationships with clients and industry partners.
  • Perform general administrative duties as needed to support escrow operations.
