About The Position

We are seeking a detail-oriented and dependable Escrow Assistant on a temp-to-hire basis. This role plays a critical part in supporting Escrow Officers with the day-to-day processing of real estate escrow files from open to close. The ideal candidate thrives in a fast-paced environment, excels at clear communication with buyers, sellers, lenders, and realtors, and possesses a strong understanding of loan documents, title commitments, and closing procedures. This position offers an immediate opportunity to join an established team with the potential to convert into a permanent, full-time role based on performance and business needs.

Requirements

  • Minimum 1–2 years of experience as an Escrow Assistant, Title Assistant, or Real Estate Legal Assistant
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and digital document platforms.
  • High accuracy in numerical calculations, document verification, and data entry.
  • Exceptional verbal and written communication skills with a strong customer service orientation.
  • Ability to prioritize tasks, meet strict closing deadlines, and manage high-volume file loads effectively.

Nice To Haves

  • Hands-on experience with industry escrow/title software (e.g., Qualia, ResWare, SoftPro, RamQuest, or similar systems)

Responsibilities

  • Open new escrow files, request title commitments, and order necessary payoff statements, HOA demands, tax certificates, and municipal lien searches.
  • Assist Escrow Officers in preparing preliminary closing statements, HUD-1/CD statements, closing packages, and legal documents.
  • Review incoming real estate contracts, loan documents, and title commitments for accuracy, completeness, and outstanding conditions.
  • Serve as a primary point of contact for realtors, mortgage lenders, buyers, sellers, and attorneys to gather missing information and provide status updates.
  • Assist with clearing title requirements, processing wire transfers, balancing files for disbursement, and submitting documents for county recording.
  • Maintain organized electronic and physical files, track contingencies/deadlines, answer incoming phone calls, and manage incoming mail or Earnest Money Deposits (EMDs).
