About The Position

The Equipment Monitoring System (EMS) Administrator provides ownership and day-to-day administration of LabWatch, the remote monitoring system for laboratory equipment and utilities. This role maintains system records, device configurations, user access, alert settings, monitoring views, procedures, and related documentation in accordance with Client and JLL requirements. The EMS Administrator supports monitoring reliability by reviewing alert and trend continuity, coordinating troubleshooting and escalation, providing reports and data to stakeholders, and serving as the primary liaison among Lab Operations, Facilities, IT, vendors, Client stakeholders, and JLL leadership.

Requirements

  • Minimum of 2 years of experience supporting environmental/equipment monitoring, laboratory systems, instrumentation, controls, facilities systems, or regulated operations.
  • Experience working cross-functionally with operational, technical, vendor, or facilities stakeholders.
  • High School Diploma.
  • Knowledge of procedural documentation, data integrity, change management, and quality recordkeeping practices.
  • Ability to interpret alert, trend, configuration, and monitoring-status data and communicate findings to technical and non-technical audiences.
  • Ability to identify process gaps, recommend practical improvements, and support implementation of standardized workflows that improve reliability, efficiency, and compliance.
  • Strong attention to detail, organization, follow-through, and time-management skills.
  • Proficiency with standard business productivity tools, including Microsoft 365 applications such as Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Candidates must be authorized to work in the United States without sponsorship.

Nice To Haves

  • Experience with system administration, device configuration, troubleshooting, records management, and controlled documentation preferred.
  • Experience working in a computerized maintenance management system (CMMS), including work order review, documentation, asset management, or maintenance activity tracking, preferred.
  • Experience developing or maintaining procedures, work instructions, or controlled operational documentation preferred.
  • Experience in laboratory, pharmaceutical, biotechnology, facilities, or procedure-driven environments preferred.

Responsibilities

  • Administer the LabWatch monitoring system, including devices, user access, alert settings, monitoring views, system records, and related documentation in accordance with approved procedures and site monitoring and documentation expectations.
  • Maintain accurate LabWatch inventory records, including device assignments, asset associations, physical locations, alert configurations, monitoring status, and lifecycle status.
  • Review alert status, alert configuration, trend continuity, device communication, and monitoring performance to identify issues, confirm expected monitoring behavior, and coordinate investigation, escalation, or correction as needed.
  • Prepare and distribute routine LabWatch reports, including alert-status reviews, configuration observations, follow-up notes, monitoring-performance summaries, and stakeholder updates.
  • Provide trend data, alert history, audit records, and other reports to support operations, maintenance activities, troubleshooting, investigations, assessments, and documentation needs.
  • Coordinate troubleshooting, repair, replacement, and escalation of hardware, communication, configuration, access, and reporting issues with IT, Facilities, vendors, Lab Operations, JLL leadership, and Client stakeholders.
  • Maintain spare-device inventory and coordinate installation, commissioning, relocation, replacement, and decommissioning activities to support monitoring continuity.
  • Support planned equipment activities and unplanned events by coordinating alert disablement and re-enablement, confirming trend continuity and monitoring status, communicating with stakeholders, and completing required documentation before, during, and after the activity or event.
  • Route incidents, requests, and system questions to the appropriate owner; communicate status, risks, dependencies, and follow-up needs to stakeholders through resolution.
  • Develop, maintain, and improve procedures, work instructions, configuration records, work order notes, supporting evidence, and operational records to support audits, assessments, investigations, and reliable LabWatch administration.
  • Analyze reporting, trends, monitoring anomalies, and recurring issues to support maintenance planning, monitoring reliability, response readiness, and service continuity.
  • Full-time on-site presence required.
