About The Position

The Environmental Administrative Assistant reports to the Environmental Director and provides administrative support to environmental programs, projects, and personnel. This role supports environmental compliance, project tracking, recordkeeping, internal coordination, and communication. The ideal candidate is detail-oriented, well-organized, and experienced in providing administrative support within an environmental or technical setting.

Requirements

  • High school diploma or GED required; associate degree preferred.
  • Two years of administrative experience, preferably in environmental, governmental, or regulatory settings.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook; OneDrive and Teams preferred
  • Strong organizational skills with the ability to prioritize and manage multiple tasks.
  • Ability to communicate professionally both in writing and verbally.
  • Ability to work independently and as part of a team.
  • Ability to learn environmental program requirements and terminology as needed.
  • A valid California driver’s license and the ability to maintain insurability under the Tribes Vehicle Insurance Policy.

  • Experience working with tribal governments, local/state/federal agencies, or environmental organizations is preferred.

Responsibilities

  • Provide administrative support including scheduling meetings, preparing agendas, taking minutes, and maintaining calendars.
  • Support community outreach by organizing event logistics and assisting with setup and coordination.
  • Assist in drafting, editing, formatting, and distributing correspondence, reports, logs, and environmental documentation.
  • Organize, maintain, and update files, records, and databases, both physical and electronic.
  • Support project tracking, departmental communication, and coordination with internal departments and external partners.
  • Prepare purchase requests, monitor inventory, and assist with vendor coordination as needed.
  • Assist with data tracking, logging incoming documents, and maintaining compliance-related deadlines and reminders.
  • Perform general office duties including answering phones, greeting visitors, and supporting departmental staff.
  • Communicate professionally with internal departments, external agencies, and community members.
  • Perform other duties as assigned
