About The Position

The Ministry of Forestry and Parks is responsible for fostering Alberta’s environmentally responsible forest management practices, including management of wildfires. We preserve our provincial parks for the recreation and enjoyment of Albertans, enabling access to public lands for recreational and commercial purposes while prioritizing conservation. Forestry and Parks also manages public lands and balances sustainable rangelands and grazing leases for Alberta producers. The Forestry Division, within the Ministry of Forestry and Parks, works to enhance the economic, environmental, and social contributions of our forests and forested lands to Albertans. The Hinton Training Centre is looking for an Enrollments Coordinator to play a key role in coordinating course registrations, supporting training delivery, and ensuring clients receive timely, accurate, and professional service. This is an exciting opportunity to contribute to programs that support wildfire readiness, operational excellence, and emergency response across Alberta and beyond. The Enrollments Coordinator serves as a primary point of contact for clients, partners, and stakeholders seeking training and facility information. This position coordinates registration requests, supports booking priorities, maintains client and course information, assists with registration policies and procedures, and helps ensure smooth front office, finance, facility, and training operations. The role is essential in supporting effective training delivery for Government of Alberta staff, wildfire and forest management partners, academic institutions, non-profit organizations, emergency response agencies, and other client groups.

Requirements

  • Two-year diploma in business administration or a related field; no experience required; or equivalent as described below.
  • Directly related education and experience may be considered on an equivalency basis, with one year of education considered equivalent to one year of experience, and vice versa.

  • Experience working in a training centre, educational environment, emergency management setting, or government program area.
  • Experience with wildfire, forest management, emergency response, or operational training programs.
  • Experience supporting registration software implementation, system improvements, or software-related business cases.
  • Experience with Government of Alberta systems such as CARS, FIRES, Beanstream, CAS, or 1GX SCM.
  • Experience developing or improving registration policies, booking procedures, client agreements, or standard operating procedures.
  • Experience preparing reports, occupancy data, expense summaries, briefing notes, business cases, or audit materials.
  • Experience updating website content, FAQs, course information, or client-facing communications.
  • Experience supporting procurement, contracts, service agreements, or invoicing processes.
  • Experience onboarding, training, or supporting front office, administrative, or registration staff.

Responsibilities

  • Coordinating training registration requests, enrollment enquiries, booking priorities, and course-related communications with internal and external clients.
  • Responding to public, inter-agency, and inter-departmental requests for Hinton Training Centre site, program, and registration information.
  • Developing communication schedules, key messages, and support materials to keep area contacts informed throughout the enrollment process.
  • Maintaining accurate contact databases, registration records, booking information, and course documentation in alignment with information management requirements.
  • Researching registration trends, training practices, and process improvements to support efficient and consistent enrollment procedures.
  • Supporting the development, review, and implementation of standardized booking, registration, and client agreement processes.
  • Identifying discrepancies, gaps, and opportunities for improvement between training priorities, policies, procedures, and operational needs.
  • Administering registration software, supporting system improvements, assisting with business cases, and providing expertise on related departmental systems.
  • Coordinating facility, instructor, equipment, accommodation, classroom, meal, and service requirements to support successful training delivery.
  • Supporting front office staff through onboarding, daily guidance, cross-training, and ongoing learning related to bookings and registration processes.
  • Generating reports, expense summaries, occupancy data, billing documentation, and audit materials to support financial and operational decision-making.
  • Assisting with invoice processing, expense tracking, procurement requests, and finance-related activities connected to training and facility use.
  • Updating internal and external website content by identifying client information needs, developing FAQs, and collaborating with training and online learning teams.
  • Supporting wildfire response efforts by coordinating Hinton Training Centre services, front office coverage, and operational support during periods of heightened wildfire activity.
  • Executing records management procedures and distributing updated information to Hinton Training Centre clientele as required.
