Position Overview Tierra Encantada is currently hiring for an Enrollment Specialist! Reporting to the Enrollment Manager, the Enrollment Specialist plays a key role in helping families join Tierra Encantada by managing leads, scheduling and conducting tours, and guiding prospective families from their initial inquiry through confirmed enrollment. This role delivers a warm, responsive, and knowledgeable experience that reflects Tierra Encantada's values and brand. The Enrollment Specialist also conducts virtual tours of centers not yet open, helping families enroll with confidence before a location opens. Beyond supporting families, the Enrollment Specialist plays an important role in maintaining the operational accuracy of the enrollment process. This includes maintaining enrollment records in our CRM, documenting offered spaces, and updating enrollment trackers to support accurate enrollment data across centers. Working closely with the Enrollment Manager, this role helps ensure enrollment operations run smoothly while contributing to the company's enrollment growth and exceptional family experience.

Requirements

  • Associate's or Bachelor's degree in Business, Marketing, Communications, Education, or a related field preferred.
  • Two or more years of experience in admissions, enrollment, inside sales, customer service, or a related customer-facing role.
  • Excellent verbal, written, and interpersonal communication skills, with the ability to confidently build rapport and communicate professionally with prospective families by phone, email, text, and in person.
  • Comfortable making and receiving a high volume of phone calls while maintaining a positive, service-oriented approach.
  • Experience using CRM systems such as LineLeader, HubSpot, Salesforce, ChildcareCRM, or similar platforms.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency with Microsoft Office and Google Workspace (Sheets, Docs, Gmail, etc.).
  • Bilingual in English and Spanish strongly preferred.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated ability to build trust, overcome objections, and provide exceptional customer service throughout a consultative enrollment process.
  • Positive, collaborative attitude with a commitment to continuous improvement.

Responsibilities

  • Serve as the first point of contact for prospective families reaching out via web inquiries, phone calls, and email.
  • Respond promptly and professionally to all inquiries, ensuring families receive accurate and timely information.
  • Qualify prospective families by understanding their childcare needs, desired start dates, and program preferences.
  • Schedule and confirm tours, providing pre-tour communication, reminders, and answering questions prior to their visit.
  • Conduct proactive outbound phone calls, emails, and text outreach to nurture prospective families and move them through the enrollment journey.
  • Build trusted relationships with prospective families by delivering a warm, personalized, and responsive experience from initial inquiry through enrollment.
  • Conduct engaging virtual tours for prospective families interested in pre-opening centers, providing an informative and personalized introduction to Tierra Encantada's programs, philosophy, and enrollment process.
  • Partner with Center Directors to coordinate a seamless tour experience for in-person visits.
  • Conduct timely post-tour phone calls, emails, and text follow-up to answer questions, overcome objections, and encourage enrollment.
  • Guide families through the enrollment process by explaining next steps, tuition, enrollment agreements, deposits, required documentation, and start-date expectations.
  • Review completed enrollment forms and supporting documentation for accuracy and completeness, following up with families to obtain any missing information.
  • Track family progress within the CRM, ensuring all communications, notes, and activities are accurately documented.
  • Contribute to achieving enrollment goals through consistent lead follow-up, strong family engagement, and timely execution of enrollment processes.
  • Maintain accurate and up-to-date information in the CRM, including lead stages, communication history, family preferences, enrollment status, and completed activities.
  • Run routine CRM reports to identify families requiring additional outreach or follow-up.
  • Assist with testing and improving CRM workflows, templates, and automations.
  • Ensure prospective families are assigned to the appropriate center and enrollment stage within the CRM.
  • Maintain accurate enrollment trackers by documenting offered spaces and other enrollment activity in a timely manner.
  • Verify enrollment information across systems and communicate discrepancies or data concerns to the Enrollment Manager.
  • Support enrollment reporting by maintaining organized, accurate, and up-to-date operational data.
  • Work closely with the Enrollment Manager, Marketing, Operations, and Center Leadership teams to ensure consistent communication and alignment.
  • Partner with Center Directors and administrative teams regarding enrollments, pending offers, withdrawals, classroom transitions, and other enrollment activity.
  • Deliver exceptional customer service that reflects Tierra Encantada's commitment to excellence and family experience.
