About The Position

The Enrollment Registrar at Center Line Preparatory Academy is responsible for managing enrollment processes, ensuring compliance with state and federal regulations, and maintaining student records. This role is critical for the efficient operation of administrative duties and requires a focus on continuous improvement, customer service, and professionalism. The Registrar will support an office environment that is professional, customer service oriented, and supportive to visitors, parents, and students. Key responsibilities include managing student permanent record files, withdrawals, and re-enrollment information, ensuring the timely and accurate completion of the new student enrollment process, and maintaining required records in the Student Information System. The role also involves supporting People Services with personnel documents and maintaining a list of substitute teachers.

Requirements

  • Associate degree and/or 2-4 years experience in Office Lead or School Administrative position.
  • Proficient with Microsoft Office products.
  • Proficient on PC and basic MS Office programs.
  • Ability to multi-task.
  • Highly organized.
  • Detailed-oriented.
  • Ability to create and maintain a customer-focused atmosphere within the administrative functions.
  • Ability to respond to common inquiries or complaints from parents.
  • Ability to communicate and work effectively with Students, Parents, Principal and Teachers.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Responsibilities

  • Maintain student permanent record files, withdrawals, student records requests, and re-enrollment information in accordance with state law.
  • Ensure the New Student Enrollment process is run in a timely, complete, and accurate manner, including application entry, follow-up correspondence, lottery preparation and execution, documentation, and cumulative file updates/maintenance/security.
  • Maintain required records in the Student Information System to ensure compliance with state, federal, authorizer, and National Heritage Academies’ standards, including attendance records, parent/household information, and emergency contact information.
  • Manage the collection and management of required forms.
  • Manage all First Day / Count Day processes and requirements.
  • Forward pertinent personnel documents to People Services at National Heritage Academies Service Center and maintain communication with People Services.
  • Maintain a current and active list of substitute teachers.
  • Answer phones, direct questions and inquiries, and provide enrollment information to interested parents.
  • Support an office environment that is professional, customer service oriented, and supportive to visitors, parents, and students.
  • Participate in and drive continuous improvement in both personal development and processes, including attendance at training.
