About The Position

The Enrollment Coordinator plays an integral role in enhancing the College’s exceptional student experience. This position will support the Enrollment Manager and Program Managers, to assist with Academics, Compliance, and smooth running of the programs.

Responsibilities

  • Uphold Oxford International policies, procedures, standards, and applicable regulatory requirements at all times.
  • Maintain current knowledge of institutional policies, programs, and relevant industry and regulatory developments.
  • Assist with data entry and other administrative duties to support campus operations.
  • Coordinate and support student intake activities.
  • Ensure the campus and student service areas are maintained in accordance with Oxford International Quality Standards, keeping workspaces organized and professional.
  • Carry out other duties as assigned by management.
  • Participate in association and community initiatives on behalf of the College, as required.
  • Prepare, generate, and maintain enrollment documentation, including enrollment agreements, enrollment confirmations, student files, and other required admissions and registration documents in accordance with institutional policies and regulatory requirements.
  • Ensure all inquiries and emails receive a response within one business day.
  • Coordinate new student intakes by preparing required documentation, creating Moodle accounts, issuing student ID cards, and ensuring student records are accurately scanned, uploaded, and maintained.
  • Monitor and maintain student records to ensure timely completion of required documentation throughout the student lifecycle.
  • Build and maintain professional relationships with students, colleagues, community partners, and other stakeholders.
  • Maintain current knowledge of applicable Private Career College (PCC) legislation, institutional policies, and regulatory requirements to ensure compliance throughout the enrollment and registration process.
  • Ensure the accuracy, completeness, confidentiality, and integrity of student records and enrollment documentation in accordance with institutional policies and applicable privacy legislation.
  • Review enrollment files to verify that all required admissions and registration documentation is complete prior to student start dates.
  • Support internal audits, regulatory reviews, and reporting requirements by maintaining organized, accurate, and audit-ready student records.
  • Communicate proactively and collaboratively with internal departments to support efficient enrollment processes and regulatory compliance.
  • Identify and escalate compliance concerns or documentation deficiencies to management in a timely manner.
  • Foster a welcoming, inclusive, and supportive environment for students from diverse cultural, ethnic, and language backgrounds.
  • Respond to student inquiries in person, by phone, or by email in a timely, professional, and courteous manner, providing accurate information or referring students to the appropriate department when necessary.
  • Provide guidance to students regarding administrative processes, institutional policies, program requirements, and important deadlines.
  • Assist with the planning, coordination, and successful delivery of student orientations, graduation ceremonies, and other student events.
  • Contribute to a safe, respectful, and positive learning environment for all students.
