About The Position

Peninsula Family Service (PFS) is a nonprofit organization dedicated to supporting children, families, and older adults. As a major provider of early childhood education programs, PFS also offers services in financial empowerment, employment, and senior support. This seasonal, temporary role supports the enrollment and onboarding of children and families in the Early Learning department during peak summer periods. The coordinator will conduct outreach, recruitment, and enrollment activities, provide case management, and maintain records in compliance with state and federal regulations.

Requirements

  • 2-3 years of experience in customer service, data entry, or administrative functions.
  • Experienced with MS Office, including Excel, Word, and Access or related databases.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office programs.
  • Able to learn and use child development databases such as NoHo and Child Plus.
  • Maintain clear Criminal Background Check/Fingerprinting.
  • Submit evidence of a negative Tuberculin test (completed within the last year) and health report before hire.
  • Submit evidence of completion of education requirements before hire.
  • Must have Covid immunizations.

  • Experience working with low-income families in an urban setting.
  • Work experience demonstrating the ability to work well with community service agencies, complete child development assessments, and conduct home visits.

Responsibilities

  • Serve as an initial point of contact for families seeking program enrollment.
  • Conduct enrollment interviews with families.
  • Complete and score enrollment applications according to program policies.
  • Assist with reviewing, tracking, and re-prioritizing the enrollment waitlist and contacting waitlisted families.
  • Conduct targeted outreach to underserved and priority families to promote the program and encourage enrollment.
  • Attend community events, partner sites, and resource fairs for recruitment.
  • Build and maintain relationships with community organizations, schools, and service providers to generate referrals.
  • Follow up with prospective families via phone, email, and in-person to support their enrollment.
  • Distribute recruitment materials and participate in recruitment activities.
  • Encourage parent involvement and act as a liaison to the Parent Committee and Policy Council.
  • Maintain and update family files, ensuring all information and documents are current and meet state eligibility requirements.
  • Maintain NOHO and Child Plus databases with accurate and timely information.
  • Ensure all Community Care Licensing Forms (CCL) are completed before a child's start date.
  • Collaborate with center staff on changes, form updates, and follow-ups.
  • Partner with Family Advocate and Community Engagement Coordinators on enrollment, start dates, and transitions.
  • Participate in cross-component team meetings and case conferencing.
  • Assist families with smooth transitions between program options or from program to program.
  • Secure information from families regarding medical and social factors affecting their situation.
  • Assure the confidentiality of records.
  • Collect all required documents for enrollment and eligibility.
  • Perform record-keeping and data input objectively and in a timely manner.
  • Regularly review data progress reports for accuracy and timeliness.
  • Compile monthly reports based on activities and records.
  • Travel to offsite locations regularly.
  • Attend team meetings on and off-site regularly.
