About The Position

The Engineering Coordinator is responsible for assisting the Director of Engineering with a variety of administrative functions. This role requires maintaining a warm and friendly demeanor, effective communication skills, the ability to multitask and prioritize, and a commitment to service excellence. The coordinator must attend all hotel meetings and trainings, maintain regular attendance, and uphold high standards of personal appearance and grooming. They are expected to comply with hotel standards and regulations to ensure safe and efficient operations, maximize productivity, identify problem areas, and assist in implementing solutions. Demonstrating consistency, integrity, teamwork, and a willingness to assist others are key aspects of this position. Long hours may sometimes be required.

Requirements

  • Some college, secretarial/business degree
  • Basic accounting skills
  • Familiarity with and knowledge of employment laws are helpful.

Responsibilities

  • Create POs and order materials for Engineering department
  • Post schedules every two weeks for Engineers
  • Call in Vendors for 3rd party work
  • Work with DOE to maintain all life safety and health related documents
  • Manage and keep Alice system up to date and current for Engineering dept
  • Maintain records, files and ledger to provide ready access to purchasing information and status of same.
  • Maintain a follow up system for materials ordered
  • Track departmental expenses
  • Process invoices for purchased items, contract labor and service calls.
  • Other administrative items determined by Director of Engineering
  • Maintain a warm and friendly demeanor at all times.
  • Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
  • Must be able to multitask and prioritize departmental functions to meet deadlines.
  • Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.
  • Attend all hotel required meetings and trainings.
  • Maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling, which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming, which include wearing nametags.
  • Comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.
  • Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.
  • Demonstrate consistency and integrity at all times
  • Demonstrate teamwork and develop strong team relations
  • Willing to step outside normal responsibilities to assist others
  • Ablity to communicate clearly both verbally and in writing
