About The Position

The Flood Control District has the mission to reduce the risk of flooding in Harris County, the third most populated county in the United States, with a population in excess of 4.7 million, including the City of Houston, the nation’s fourth largest city. The Flood Control District has jurisdiction over the primary stormwater facilities in the county, which consist of approximately 1,500 channels totaling nearly 2,500 miles in length, as well as more than 60 regional stormwater detention basins, totaling more than 10,000 acres and several wetlands mitigation banks including Greens bayou. The District is seeking qualified candidates for the role of Engineering Administrative Coordinator, who will be responsible for performing a wide variety of administrative duties to support the Engineering Division, including providing support for purchasing and processing requisitions.

Requirements

  • High school diploma/ GED or equivalent
  • Two (2) years of verifiable experience in secretarial/administrative support or related field.
  • Valid Class “C” Texas Driver’s License
  • Solid knowledge of modern office procedures (scanning, filing, and record keeping), computer operations, and software applications, and strong typing skills.
  • Requires a high level of confidentiality, judgment, personal responsibility, and dependability.
  • Requires good diagnostic and troubleshooting skills to solve work problems.
  • Requires good analytical skills in applying guidelines, policies, and precedents and in adapting standard methods to fit facts and conditions.
  • Requires the ability to efficiently manage a variety of concurrent responsibilities.
  • Work independently and with a team in an office environment, with limited supervision, relative autonomy, and general review.
  • Be a self-starter; assume ownership in setting goals, organizing work, and completing assigned tasks.
  • Utilize good time management skills and effectively prioritize and schedule multiple tasks and initiatives.
  • Use proper grammar, correct spelling and punctuation, simple formats, and filing systems.
  • Effectively communicate with coworkers, the general public, the industry, and governmental representatives.
  • Solve simple mathematical problems that may be required in normal work situations.

Responsibilities

  • Receive invoices, obtain appropriate approvals, and route to District Finance for payment.
  • Use District Financial Application (DFA) to track actual expenditures against the budget.
  • Maintain detailed records.
  • Update various internal reports, collect and compile data, and perform follow-up, as necessary.
  • Proofreads outgoing materials for grammar, spelling, required signature(s), and conformance with established policies and procedures.
  • Prepares, scans, routes, and tracks various contractual documents and correspondence for submittal for approval by the Harris County Commissioners Court.
  • Compose, type, and edit letters, memos, reports, and other documents.
  • Sort, scan, copy, fax, and file hard copy department documents and correspondence.
  • Apply department policies and procedures in determining completeness of applications, forms, records, and reports.
  • Interact extensively with the public and District employees both in person, by telephone, and by email in a courteous and professional manner.
  • Update and maintain calendars for employees and contractors.
  • Assume additional responsibilities as required, adapting to the evolving demands, responsibilities, needs, and objectives of the district.
